
Purpose of the Position:
The Office Assistant will support the day-to-day operations of the Housing and Residence Life department, providing support for central office staff colleagues, student personnel, contractors, and customers (internal and external).
Duties/Responsibilities
Administrative:
• Maintain inventory of departmental forms and marketing materials
• Oversee and manage archival of records
• Maintain student files (hard copies)
• Support office processes as needed
• Prepare morning office reports
• Oversee key inventory and distribution for office
• Process payments/contracts for summer interns, camps and conferences, and orientation
• Work with university partners (Printing, OIT, Telecom, etc.) on departmental needs
• Direct work of student employees
• Assist with monthly purchasing card reconciliation
• Assist with HR, payroll, and EPAFs as needed
• Assist with onboarding of new staff
Customer Service:
• Handle customer service and help resolve complaints and concerns
• Process work orders coming in from residents
• Follow up on work orders from a customer service aspect/help maintenance staff
• Coordinate pest control and laundry responses to issues
• Coordinate Student/parent correspondence (front line)
• Answer and distribute emails from the main housing email account
Minimum Requirements:
• High School Education or an equivalent combination of education and years of experience
• 1- 3 years of full-time verifiable office management work experience
• Must be proficient in Microsoft Office Suite and internet browsers
• Exceptional communication, customer service, grammar, editing, and organization skills
Desired Qualifications:
• Bachelor's degree, preferably in Business, or an equivalent combination of education and years of experience preferred
• Experience with Banner, Blackboard, and occupancy management software is desired
• Experience in a university or college campus environment is preferred
