The Opportunity
Save the Children is inviting applications from suitably qualified personnel to fill the position of Office Assistant for the HRSA Programme based in Ntcheu. The Office Assistant will be responsible for maintaining cleanliness and hygiene within the office premises, including bathrooms, kitchen, and office surroundings, while also supporting administrative functions such as photocopying, printing, binding, movement of office items, and general office support services. The position reports directly to the Administrative Assistant.
The role holder will ensure that office facilities are maintained in a clean, safe, and professional condition at all times. The Office Assistant will also support office operations by facilitating mail circulation, monitoring office consumables, assisting with meetings and refreshments, and ensuring office equipment such as photocopiers and printers are functioning properly. The position holder will work closely with programme and support teams to ensure efficient day-to-day office operations.
The post holder will also support reception-related duties when required, including welcoming visitors, directing guests appropriately, and maintaining a professional reception environment. In addition, the Office Assistant will assist with loading and offloading office supplies and ensure that office premises are securely locked at the close of business each day.
In the event of a major humanitarian emergency, the role holder may be expected to work outside the normal role profile and be able to vary working hours accordingly.
In order to be successful, you will bring/have:
• At least a Malawi School Certificate of Education (MSCE) or its equivalent. A Certificate in Secretarial Studies will be an added advantage.
• At least 1 year of experience working as an Office Assistant/Cleaner; experience working with an INGO will be an added advantage.
• Experience operating office machines such as photocopiers and printers.
• Basic computer literacy and ability to use applications such as Outlook, Word, and Excel.
• Ability to speak, write, and understand simple English.
• Ability to write simple reports.
• Good communication and customer service skills.
• Self-motivated and flexible in working within a team environment.
• Strong teamwork and collaboration skills.
• Ability to maintain cleanliness, organization, and professionalism in the workplace.
