Job Description

As the Office Assistant, you will be a vital member at one of our Alaskan processing facilities that is a versatile role involved in a wide range of administrative and clerical tasks. This role will involve managing schedules, coordinating meetings, handling incoming and outgoing correspondence, and maintaining office supplies. Additionally, they may assist with financial tasks, such as processing invoices and expense reports. This position requires excellent communication abilities, and a positive attitude to effectively support the office manager and contribute to the overall success of the fish processing plant.

Essential Functions/Qualifications  

The responsibilities of the position include the following:  

  • Answer, screen, and redirect phone calls including receiving and relaying messages.  
  • Submit copies of personnel file to the payroll manager for payroll purposes.  
  • Ensure that all business permits and licenses are current.  
  • Establish office standards and procedures, organize office operations and procedures.  
  • Create and design office forms.  
  • Maintain vehicle information and documentation and ensure vehicle registrations and insurance are current.  
  • Ensure filing systems are maintained and up to date.  
  • Ensure confidentiality of company correspondence and records.  
  • Audit all weight records and fish tickets.  
  • Submit all original copies of fish tickets to the corporate office.  
  • Maintain copies of all fish tickets at the plant.  
  • Generate requested reports from the fish ticket system. 
  • Other duties as assigned to ensure the facility and organization is fully supported and successful.

Education and Experience  

  • High school diploma required.  
  • Associates or BA preferred but not required.  
  • 6-12 months related experience and/or training; or equivalent combination of education and experience. 
  • Proficiency in office software: Knowledge of Microsoft Office Suite (Word, Excel, Outlook) or similar software is often required.
  • Previous experience in Seafood or Manufacturing as receptionist or administrative role preferred.
  • Ability to maintain a high level of accuracy in preparing and entering information. 

Work Environment and Schedule   

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Position requires onsite presence at our Alaska Processing Facility, and the ability to travel, spending a significant amount of time during the season at our various locations and processing facilities in Alaska. 

Physical Demands   
While performing the essential function and job duties associated with the job, the employee is regularly required to sit, handle, or feel and talk or hear. The employee is occasionally required to stand, walk; reach with hands and arms and stoop, kneel, crouch, or crawl. The employee must occasionally lift and/or move up to 10 pounds.
