Salary Range: $16.00 - $18.50 Hourly
Join Our Team at Carroll Lutheran Village! We’re currently seeking a dedicated Full-Time Office Assistant to become part of our caring and mission-driven community. As an Office Assistant, you will play a key role in providing administrative and clerical support to the administrative staff and ensuring efficient office operations. This position follows a Monday-Friday 9:00am-5:00pm schedule.

What You’ll Do as a Carroll Lutheran Village Office Assistant:
- Maintain and regularly update databases containing resident and constituent information.
- Record and compile accurate minutes for meetings, as needed.
- Assist in the creation, formatting, and editing of reports, correspondence, charts, policies, meeting minutes, calendars, and other documents.
- Operate standard office equipment including telephone console, pagers, fax machines, copiers, folding machines, postage meters, and other tools necessary for clerical tasks.
- Provide receptionist coverage during breaks and absences.
- Generate updated reports on resident information in response to staff requests, in accordance with department procedures.
- Manage residents’ personal funds accounts, including monthly reconciliation and preparation of quarterly statements for resident review and signature.
- Support the onboarding and training of new employees.
- Participate in all required in-service training sessions.
- Attend continuing education programs to enhance skills and job performance.
- Perform additional duties as assigned.

QualificationsWhy We Want You On Our Team – You’ll Bring:
Education | Experience
- High school diploma or equivalent.
- 3+ years of administrative support experience, with demonstrated proficiency in computer applications, including Windows XP, Microsoft Word, Access, Excel, PowerPoint, Print Shop, and Publisher.
Knowledge, Skills and Abilities
- Demonstrated discretion, professionalism, and sound judgment in handling sensitive and confidential matters.
- Excellent interpersonal, written, and verbal communication skills, with the ability to interact effectively and tactfully with individuals at all levels, including residents, staff, families, external vendors/authorities, and the public.
- Strong attention to detail in writing, proofreading, managing priorities, and meeting deadlines in a fast-paced environment.
- Proven ability to work both independently and collaboratively within a team environment, demonstrating a cooperative, respectful, and compassionate approach to colleagues and resident care.
- Skilled in the use of standard office equipment and technology.
- Maintains professionalism, composure, and a positive attitude when managing challenging situations.
- Physically able to move throughout the workday and lift items up to 20 pounds using safe handling practices.
- May be necessary to assist with resident evacuation during emergency situations.
