Office Assistant (20 hours per week / 50% FTE)

HOW YOU’LL MAKE A DIFFERENCE

  • Ensuring a friendly and professional welcome for all visitors (customers, external partners, candidates, etc.)
  • Coordinate calendar for and Senior Director team members and plan the logistics of each meeting
  • Schedule and plan meetings and appointments
  • Effective communications with cross-functional teams around the globe
  • Answering general phone calls and email inquiries and forwarding them to the appropriate contacts
  • Handling incoming mail and parcels and distributing them accordingly, as well as processing outgoing mail
  • Supporting the booking of business travel (hotels, flights, transportation)
  • Assisting with the organization of events and meetings, including booking meeting rooms, catering, logistics, and transportation
  • Ensuring cleanliness of office spaces (primary point of contact for cleaning services) and maintaining order in public areas
  • Building and facilities maintenance (primary point of contact)
  • Responsible for managing building access (office keys, badges, etc.)
  • Supporting facility management activities (fleet management, parking, etc.)
  • Ordering office and consumable supplies (kitchen areas, office materials, etc.)
  • Supporting the management team with various administrative tasks
  • Covering reception duties and office support in Cham

WHAT YOU NEED TO WIN

  • Impeccable organizational, scheduling, and prioritization skills, enabling you to manage multiple priorities and deadlines while maintaining a keen attention to detail
  • At least 2 years of professional experience in office management or a comparable role
  • Hands on mentality
  • Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Concur Application experience is preferred
  • Excellent communication skills
  • Service-oriented and solution-focused mindset
  • Thrives in a fast-paced environment, embracing change with a positive attitude and flexibility
  • Fluent German and English skills, both written and spoken
  • A passion for cycling is a plus
