Summary
GENERAL SERVICES DEPARTMENT
OFFICE ASSISTANT II
Under general supervision, performs moderately complex and semi-specialized clerical support duties.
Examples of duties
Essential Duties and Responsibilities (may perform other duties as assigned):
- Types from rough draft correspondence and reports.
- Composes routine and standardized correspondence.
- Transcribes and records case histories, investigations and departmental communications.
- Proofreads and checks work for accuracy.
- Assembles data and information and enters into defined tabular format.
- Performs routine filing of correspondence, records and reports.
- Assists in maintaining records in databases, spreadsheets and logs.
- Prepares and checks papers and records.
- Analyzes, classifies and files material of a routine nature.
- Screens telephone calls and visitors and assists with general inquiries.
- Operates computers, copying machines and other office equipment.
- Sorts and distributes mail.
- Schedules work for, trains and instructs new clerical employees.
Qualifications
Qualifications (required):
- High School graduation or GED with courses in typing, keyboarding, word processing, and office management or business related subjects.
- One (1) years of recent office experience performing moderately complex clerical and office work.
- One (1) year of experience in typing and performing general office work.
Qualifications (preferred):
- Completion of courses in typing and word processing preferred.
- Experience in a City department
Equivalency
- Equivalent combinations of education and experience that provide the required knowledge, skills, and abilities will be evaluated on an individual basis.
