Office Assistant 1 (Materials Management Stores) Full Time Day Shift (10:00 AM - 6:30 PM)

Office Assistants 1 performs office support and clerical work to meet the requirements of agency programs. Such work may consist of, but is not limited to: performing data entry; math or calculations; mail, supply, and inventory functions; keyboarding and other document preparation tasks; answering telephones; completing forms; assisting customers; creating or assisting in the preparation of reports, charts, graphs, and tables; and performing other related activities. This work is accomplished in accordance with applicable procedures, rules, regulations, and laws.

This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS).

For the duration of the NY HELPS Program, this title maybe filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At this time, agencies may recruit and hire employees by making temporary appointments. In May 2024, if a temporary NY HELPS employee is satisfactorily performing in the position, the appointment will be changed from temporary pending Civil Service Commission Action to permanent non-competitive and the official probationary period will begin.

At a future date (within one year of permanent appointment), it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in a NY HELPS title, employees may take part in any promotion examination for which they are qualified.

Duties of a Office Assistant 1 (Materials Management Stores) may include the following but are not limited to:

  • Performs such work that may consist of doing inventory count; using handheld scanners; knowledge of supply, and inventory functions.
  • Count, pick, and deliver/replenish medical/surgical supplies throughout the Nursing Units including Central Sterile, Operating Room, Emergency Department and/or off-site locations.
  • Maintain the integrity of supplies and the cleanliness of storage units. Keeping shelves and stock clean, neat, and in proper place.
  • Take periodic physical inventory and maintain perpetual inventory records.
  • Answering telephones; completing forms; assisting staff and performing other related activities.
  • This work shall be accomplished in accordance with applicable process and procedures.
  • Order and receive medical gases and bulk supply.
  • Monitor and return of recalled items.
  • Check stock for expiration dates- monitor and return recalled items.
  • Consign and log breast implants.
  • Monitor GHX-deliveries and back orders.
  • Process charge and no charge request.
  • Break down pallets of supplies.

Qualified candidates will demonstrate excellent communication skills, interpersonal skills, knowledge, and understanding of medical/surgical supplies and effectively respond to the Nursing Division’s changing needs by making decisions based on ethical principles and adhering to our high standard of excellence. The candidate should be able to lift/push/pull heavy objects and stand for long periods.

Qualifications

Required MUST have taken and passed the specific job related Civil Service exam and be reachable on the appropriate Civil Service list.

Preferred Qualifications Experience with Microsoft Excel, Lawson ordering system, GHX/EDI application and experience with stocking including policy of FIFO.

This position may be designated 55 b/c and is subject to verification of applicant eligibility.

Anticipated Pay Range:

The salary range (or hiring range) for this position is $36,232 / year.

The above salary range represents SBUH’s good faith and reasonable estimate of the range of possible compensation at the time of posting. The specific salary offer will be based on the candidate’s validated years of comparable experience. Any efforts to inflate or misrepresent experience are grounds for disqualification from the application process or termination of employment if hired.

Some positions offer annual supplemental pay such as:

  • Location pay for UUP, CSEA & PEF full-time positions ($4000)
