Job Description

We are hiring for this position out of our Toronto office. Successful candidates who apply outside of these areas will be expected to relocate and reside in a location that is within a commutable distance.

About the role:

As the Office Ambassador, you are passionate about creating an exceptional front-of-house experience and fostering a vibrant office culture. You are energetic, self-motivated, and known as the go-to person for information and support. You thrive on planning and executing engaging office events that bring employees together and enhance their experience. You are organized, adaptable, and take pride in delivering polished, memorable experiences while keeping day-to-day operations running smoothly.

About the day-to-day:

  • Reception-based role: Act as the first point of contact for employees, vendors, and clients in person and by phone, ensuring a professional and welcoming experience.
  • Act as the steward of the Toronto office, ensuring a welcoming and professional environment.
  • Oversee Facilities and Premises items such as ordering employee access cards, posting building management notices, organizing periodic repairs and maintenance, creating service tickets, and assisting employees with workspace allocation software.
  • Plan, coordinate, and execute office events (e.g., holiday celebrations, team-building activities, cultural events) to foster engagement and community.
  • Manage the ordering and distribution of stationery supplies, snacks/beverages, and cleaning products.
  • Handle mail and courier delivery, distribution and scanning as required, in a timely manner.
  • Maintain the professional and tidy appearance of the work areas, meeting rooms, and shared spaces.
  • Willing to become a Microsoft Teams expert and become very familiar with meeting room equipment: able to set up meetings; train others on best uses of the tools and technology.
  • Leader catering and logistics for corporate events and meetings.
  • Other duties may be assigned as required.

About the qualifications:

  • At least two years in a professional or corporate environment.
  • At least 1 year of previous experience as an Office Manager or Office Administrator.
  • Experience planning and managing events considered an asset.
  • Relevant post-secondary education.
  • Excellent written and verbal communication skills.
  • Strong organizational and project management skills.
  • Sound knowledge of Microsoft Outlook, Word, and Excel.
  • Flexible and adaptable; able to multi-task under pressure.
  • Detail oriented with an eye for the big picture.
  • Experience or strong interest in corporate event planning and execution.
  • Ability to drive employee engagement through creative initiatives.

Office Presence

  • 5 days a week in the office, 8:30am to 5pm.

About the work environment:

Peoples Group offers a flexible and hybrid work environment. In this role you will work a combination of in-office and remotely from home. Typically, you'll be working regular business hours, Monday to Friday between 8:00am and 4:30pm with flexibility around start/end times.

Hiring process:

Compensation:

The expected salary for this role is approximately $55,000 - $75,000 annually. Actual compensation may vary based on experience, skills, and qualifications.
