Forbes Bros Ltd (FB) is seeking an Office Administrator (full-time, permanent) to support the team in Surrey, BC. This position will be based out of the Surrey office five (5) days a week.

The successful candidate will be self-directed and complete a variety of both routine and confidential administrative tasks in a fast-paced environment to support the team. The Office Administrator (full-time, permanent) will be responsible for carrying out various administrative activities while maintaining a high degree of attention to detail. The successful candidate will bring strong organizational and communication skills.

Responsibilities:

• Lives Forbes Bros. value of WE WORK SAFE & never compromising on safety in all aspects of our every day.
• Entering and maintaining data in client systems via SAP and Viewpoint
• Tracking traffic control permits, letters, and TMP handouts in a timely manner.
• Responsible for follow up of TMP's and permits.
• Updating, maintaining, and communicating scheduled jobs via Team Up.
• Coordinating, entering, and updating schedules in Viewpoint.
• Update all job statuses and required information accurately in SAP and SM accordingly.
• Processing, entering, and maintaining AP Invoice approvals via Viewpoint and Concur including PO creations.
• Responsible for monitoring AP related emails and responding effectively in a timely manner
• Effectively and consistently communicate with third party clients for all job changes, requirements, and updates.
• Entering and maintaining various tracking documents for projects, crews & reporting purposes.
• Perform other related administrative including answering phones, filing, archiving, mail, courier, office supplies, and business licenses.
• Responsible for accommodation bookings as required.
• Responsible for monthly job closing out.
• Responsible for monthly data entry inventory and quarterly reconciliation.
• Responsible for monthly reconciliation of Security Deposits and follow-up as required

What We Are Looking For:

• Minimum of one (1) year experience in the role of administrative assistant, is required
• Experience in construction, is preferred
• High School Diploma and/or Certification in related field
• Valid Class 5 Driver's license
• Demonstrated proficiency in Microsoft Office
• Experience in Oracle, SAP and/or Viewpoint, an asset
• Ability to work with minimal supervision in a fast paced and changing environment
