Following business requirements within Smurfit Westrock Connaught, a vacancy has arisen for the position of Office Administrator

Operating in a busy and fast-paced environment, the successful candidate will report to the Site Management Team and play a key role in supporting the day-to-day administrative functions of the business. This position will provide administrative support across multiple departments, ensuring the efficient operation of office processes while also assisting with site HR administration activities.

The Role

• Provide professional and efficient administrative support to the Galway site management team.
• Coordinate general office activities including document management, filing, meeting arrangements and office communications.
• Maintain accurate records and databases, ensuring all information is updated in a timely manner.
• Ensure all Group policies, procedures and administrative processes are adhered to and support the implementation of company standards across the site.
• Assist the Financial Controller with month-end reporting activities, reconciliations and other finance administration duties as required.
• Liaise with Group companies, external vendors and service providers regarding operational and administrative requirements.
• Process weekly payroll in an accurate and timely manner whilst maintaining strict confidentiality and compliance with company procedures.
• Liaise with internal departments including Production, Quality, Finance, and Commercial teams.
• Manage purchasing and ordering of office supplies and coordinate with external suppliers where required.
• Support site HR administration activities, including the onboarding of new employees and coordination of induction documentation.
• Maintain personnel files and ensure employee records are accurate, up to date and compliant with company policies and data protection requirements.
• Assist with HR administration including attendance records, training records, probation documentation and employee lifecycle processes.

Support HR with the scheduling of interviews, meetings, training sessions and employee communications.
