Salary: £26,227.50 per annum plus company benefits

Location: Leeds, LS1 5HN with some travel to Manchester, M2 2AW

Contract: Full Time, Permanent

Shifts: 37.5 hours per week, Monday – Friday, 9.00am-5:30pm, 1 hour unpaid lunch break

Work Model: Fully onsite

Purpose of role

The Office Administrator’s principal role is to provide the client with the administrative support they need to provide seamless legal services to their customers and help them maximise the amount of time they are able to spend on fee-earning tasks.

Whilst working as part of a country wide team, this role will be the sole administrative support for the Leeds office, supporting the Manchester office when required Based from the Leeds office, the individual will be proactive and flexible to work across the two sites, working from the Manchester office as and when required.

The Office Administrator will be responsible for completing defined legal administrative tasks, working within the client systems while adhering to all client processes, protocols and policies.

Key responsibilities

  • Providing a defined administrative service, following standard operating procedures
  • Delivering an exceptional electronic and hard copy file management service
  • Sort, scan, rename, distribute incoming mail to the dedicated centralised filing area
  • Manage outgoing mail, collate hard copy enclosures and obtain approval
  • Provide photocopying, scanning, and printing as per customer instructions
  • Handling original documents, such as wills and deeds
  • Preparing engrossed and certified copies of original documents
  • Preparing electronic bundles for the Courts
  • Raising queries and concerns with designated individuals, as required
  • Maintain all filing and work areas in a tidy and orderly manner
  • Monitoring, maintaining and ordering office supplies when required
  • Preparing meeting rooms for internal and external client meetings
  • Offering administrative support for the wider team network when required or to maximise efficiency

Personal attributes

  • Willing to travel to the Manchester office (travel paid for)
  • Advanced knowledge of Microsoft Word, Outlook, Excel and other systems implemented by the firm.
  • Excellent communication, organisation and team skills
  • Excellent attention to detail
  • Flexible and dependable, able to take the initiative
  • Able to remain clam under pressure and work to tight deadlines and defined SOPs
  • Conscientious, approachable and enthusiastic
