The Office Administrator is responsible for ensuring the office runs smoothly and that all client shifts are scheduled appropriately. This person is often the first voice a potential client hears when calling about service, so he/she must have superb phone and communication skills. He/She has responsibility for properly handling all referrals and receiving them in an accurate and detailed manner. The Office Administrator will manage activities around caregivers, including scheduling appropriate caregivers to clients, timecard processing and monitoring of telephony system as needed and other office coordination duties.
  • Answers telephone, takes inquiries or messages using good telephone technique.
  • Receives referrals and inquiries on the programs of this company and converts them into clients.
  • Maintains documentation of client records in ClearCare, including changes to the care program, caregiver preferences, comments on service and any incidents that affect RaH.
  • Communicates continually with associates and clients to evaluate service.
  • Responds promptly and courteously to all clients’ calls.
  • Organize and maintain filing systems, both electronic and paper-based.
  • Greet visitors and provide general support to clients and staff.
  • Handle confidential information with discretion and professionalism
  • Other general office and clerical functions.

The desired candidate will possess the following:
  • High school graduate or equivalent with two years of business experience.
  • Able to work independently, demonstrating sound judgment.
  • Proven experience as an Administrative Assistant, Office Assistant, or similar role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong written and verbal communication skills.
  • Excellent organizational and time-management abilities.
  • Ability to prioritize tasks and work independently.
  • Strong attention to detail and problem-solving skills.
  • Have a valid driver’s license and use of insured automobile.
  • Schedule will be 8:30a-4:30p Monday thru Friday

Compensation: $18.00 - $20.00 per hour
