Reporting To: Director of Operations, Chelsea

Compensation: $55,000 - $58,000 / year

Gagosian is seeking a proactive and personable Office Administrator to join our Chelsea, NY team. This role serves as the first point of contact for staff, vendors, and visitors, and is essential in ensuring the smooth day-to-day operations of the office. The ideal candidate will have strong communication skills, a positive and professional demeanor, and the ability to manage a variety of administrative and operational tasks with efficiency and care. This is a great opportunity for someone who thrives in a dynamic environment and enjoys being a central support for a collaborative team.

Duties include but are not limited to

– Answering phones, receiving packages and deliveries, distributing mail.
– Sending packages/mail, scheduling messengers, and creating FedEx labels.
– Serving as the first point of contact for all location-based operations requests; checking in vendors, liaising with facilities and operations teams and fielding general staff inquiries.
– Maintaining a clean and well-stocked kitchen and office areas.
– Maintaining monthly purchasing and inventory tracking of kitchen and office supplies; responsible for ordering and restocking, maintaining receipts, and updating the supply budget.
– Providing administrative support to department heads, including expense tracking and travel booking.
– Setting up desks for new hires and clearing desks for departing employees; maintaining building or access codes for active employees.
– Planning and coordinating employee engagement events with the HR team.

Qualifications

–Minimum of 2 years of recent work experience as a receptionist, office coordinator, or similar administrative role.
– Professional phone and email etiquette; confident and courteous communication style.
– Friendly and positive demeanor with a customer service–oriented approach.
– Strong organizational and multitasking skills; ability to prioritize tasks in a fast-paced environment.
– Proficiency in Google Suite, Microsoft Office Suite (Outlook, Word, Excel) and general familiarity with office equipment.
– Detail-oriented with a proactive mindset and willingness to take initiative.
