The Office Administrator II supports daily operational, logistics, and administrative functions across multiple internal teams and reports to the Production Manager. The role ensures smooth coordination of outbound shipments, office operations, financial administration support, and HR-related tasks. This position plays a key role in maintaining efficient processes across supply chain, administration, and internal services.

Primary Responsibilities

• Coordinate daily outbound logistics operations, including scheduling, shipping documentation, and communication with carriers and customer service.
• Manage courier shipments and support 6–8 weekly customer dispatches, including freight rate updates and picking note coordination.
• Oversee daily use and data accuracy of ERP, CRM, and HR systems.
• Process purchase invoices, resolve discrepancies, and act as primary contact for finance partners.
• Manage procurement tasks, including indirect purchases and creation of PR/PO orders.
• Support daily office operations, visitor reception, document preparation, and supplier order maintenance.
• Coordinate internal and external communication, including meeting materials, bulletins, and inquiries.
• Support meetings, events, travel systems, mobile service contracts, and provide general user assistance for office tools.

Minimum Requirements

• High school diploma or equivalent.
• Strong communication skills and proficiency with computer and data management systems.
• Ability to manage time, priorities, and changing operational needs effectively.
• High level of discretion and confidentiality due to HR-related tasks.
• Fluency in English.

Preferred Requirements

• Bachelor’s degree or 2‑year degree.
• 3–5 years of experience in a similar administrative or logistics role.
• Experience supporting office administration, HR processes, or finance operations.
• Prior experience with ERP, CRM, or HR systems.
