Job Description

Essential Duties and Responsibilities

  • Enter invoices into the accounting system.
  • Organize and schedule meetings and appointments for managers.
  • Answer and direct multi-line phone calls.
  • Receive, sort, and distribute the mail, including preparing letters and packages for pickup or delivery.
  • Perform post office runs and trips to the PO Box and mailbox as needed.
  • Assist in the preparation of regularly scheduled reports.
  • Produce and distribute correspondence memos, letters, faxes, and forms.
  • Ensure equipment operation by completing preventive maintenance requirements, calling for repairs, maintaininginventories, and evaluating new equipment and techniques.
  • Manage everyday business records and projects efficiently and promptly.
  • Originate and update meeting minutes, memos, and letters for managers.
  • Develop and maintain computer and manual filing systems.
  • Order office supplies and research new deals and suppliers.
  • Maintain contact list.
  • Confidentially manage sensitive information.
  • Greeting and assisting visitors to the office.
  • Perform administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Coordinate office functions as requested.
  • Provide general support to visitors.
  • Maintain supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing andexpediting orders, and verifying supplies' receipts.
  • Assist the accounting department as needed.
  • Perform general scanning and data entry.
  • Serve as backup for other administrative staff members.
  • Other duties, as assigned.
  • Employees may be required to work extended hours (more than 8 hours per day), weekends, and holidays. Employees will be compensated based on guidelines in the Fair Labor Standards Act.

Qualifications and Requirements

  • High school diploma or GED
  • General math skills.
  • Proficient in MS Office.
  • A high degree of accuracy and attention to detail.
  • Excellent data entry skills.
  • Excellent verbal, listening, and written communication skills.
  • Excellent time management skills and ability to multi-task and prioritize work.
  • Strong organizational and planning skills.
  • Demonstrates a sense of urgency and ability to meet deadlines.
  • Ability to work independently or as a team member.
  • Demonstrate ability to use office equipment, including but not limited to photocopiers, fax machines, and personalcomputers.
