About the Division
The Division of Dental Hygiene at The Ohio State University College of Dentistry is seeking an Office Administrative Associate to support its academic programs and operations.
The Division includes:
Two undergraduate programs
One graduate program
Both in-person and asynchronous online instruction
The program prepares students to join dental health teams focused on oral health and disease prevention. Notably, it is:
The only dental hygiene program in Ohio affiliated with a dental school
The only program in the state offering a master’s degree in dental hygiene
The Office Administrative Associate provides high-level administrative support to the Chair of the Division of Dental Hygiene. This role requires independent judgment, discretion, and the ability to manage both routine and complex administrative functions with minimal supervision.
Key Responsibilities
Support the Division Chair in daily operations and strategic initiatives
Ensure timely completion of division goals, projects, and deadlines
Represent the Chair and Division to:
College leadership
Students
External organizations and community partners
Research & Reporting
Research and analyze the following to provide recommendations and updates to the Division Chair:
Programs
Policies and procedures
Operational data
Prepare and maintain reports and documentation using network and cloud-based systems
Budget & Financial Processes
Monitor and manage division budgets across multiple funding sources in conjunction with the Chair
Initiate financial transactions, including:
Spend authorizations
Travel arrangements
Expense reimbursements
Scheduling & Coordination
Manage the Chair’s calendar and meeting schedules
Coordinate complex meetings involving multiple stakeholders
Maintain shared calendars for classrooms and conference spaces
Office & Program Support
Perform advanced administrative tasks, including:
Document preparation and collaboration
File and data management in cloud-based systems
Handling confidential information
Support personnel and documentation processes
Assist in program planning and clinical exam coordination
Provide guidance and task direction to coworkers
Assist faculty with classroom technology issues
Assist the Chair and any Search Committee Chair with faculty recruiting including:
Meeting organization
Interview scheduling
Compliance documentation tracking through web based tracking services and committee and college-wide surveys
Communications & Compliance
Manage division website and social media presence
Compile and update materials, including:
Clinic manuals
Booklists
Published resources
Events & Special Projects
Plan and coordinate division events and activities
Collaborate with other departments on shared initiatives
Facilitate logistics for special events and programs
Additional Duties
Identify and implement process improvements
Perform other duties as assigned
Target Pay Range: $21.35 - $27.88 (based on education and relevant experience)
Minimum Qualifications:
High School diploma or GED. Certification or vocational training may be required. Associate degree in relevant field may be preferred. 2 years of relevant experience required. 4-6 years of relevant experience preferred.
