Job title: Off-Campus Programs and Experiential Learning Coordinator
Job Status: Part-time, .50 FTE, non-exempt
The Off-Campus and Experiential Learning Coordinator helps champion and facilitate transformative learning opportunities to aid student learning and formation at Calvin. The coordinator works closely with the Associate Director of Experiential Learning and Director of Off-Campus Programs to manage marketing, recruitment, operations, and assessment of Calvin’s Off-Campus programs. Additionally, the role supports the operational and administrative needs of Honors Scholars, Calvin Cohorts, and experiential learning programs. The coordinator plays a key role in ensuring students have a well-organized, accessible, and supportive experience in off-campus and experiential learning programs.
QUALIFICATIONS
- Demonstrated experience in information management, marketing, and recruitment
- Propensity to think creatively and work collaboratively to promote interdisciplinary learning
- Strong communication and facilitation skills, including ability to learn new technology systems
- Bachelor’s degree required; 2–4 years of experience in higher ed (or equivalent education) preferred
DUTIES
Responsibilities vary seasonally and are shared collaboratively within the Experiential Learning team.
- Off-Campus Programs
- Champion Off-Campus programs with students, parents, faculty, staff and community members as a powerful learning opportunity for students.
- Work with program directors to manage student application, eligibility, and selection processes for all off-campus programs.
- Coordinate with campus offices such as the Registrar, Health Services, Counseling, and Financial Services to share student information and support program administration.
- Prepare emergency contact reports, pre-departure materials, and other documentation for program leaders and participants.
- Support academic and travel logistics, including course registration, credit and grade reporting, flights, visas, and immunization requirements.
- Promote off-campus programs through campus events, social media, website updates, and collaboration with Marketing & Communications.
- Recruit, train, and supervise student assistants who assist with program promotion, communications, and logistical support.

- Promote the above programs through the occasional creation of promotional materials and ensuring accuracy of web pages
- Update and maintain databases and procedures related to student program completion
- Assist with Honors graduation auditing and procedures
- Provide logistical support for prospective student Preview/Interview Day events
- Other duties as assigned
SKILL REQUIREMENTS
- Must have excellent organizational skills and be detail oriented.
- Ability to manage the timely collection and distribution of large amounts of information
- Experience with social media and basic website content management preferred; graphic design experience is a plus but not required.
- Computer skills and familiarity with Microsoft Office products are essential.
- Must have capacity to problem-solve, be able to work collaboratively with a team, and participate actively in working relationships with students and staff members.
