Job Description
1. Statutory Compliance & MyKKP Administration
- Maintain and update MyKKP records, including but not limited to:
- Registration and updating of workplace information
- Training information
- Assisting in troubleshoot of MyKKP system with DOSH
- Assist in preparation and submission of statutory reports to authorities (e.g. DOSH/JKKP), including accident and incident-related documentation where required.
- Monitor statutory deadlines and ensure timely compliance submissions.
2. Safety & Health Committee (SHC) Secretariat Support
- Act as Secretariat to the Safety & Health Committee, including:
- Planning and coordinating SHC meetings (quarterly / ad-hoc)
- Preparing agendas, attendance lists, and supporting papers
- Drafting and circulating Minutes of Meeting (MoM) in a timely manner
- Tracking follow-up actions and maintaining action registers
- Maintain proper filing of SHC documentation for audit and regulatory inspection purposes
3. Internal Coordination
- Coordinate with internal stakeholders (Operations, HR, Facilities, Loss Prevention, Supply Chain, Contractors, etc.) on:
- OSH-related matters and action items arising from SHC meetings
- Collection of required data or documents for statutory reporting
- Support internal OSH initiatives, briefings, and communications
4. External Liaison & Support
- Liaise with external parties such as:
- Department of Occupational Safety and Health (DOSH / JKKP)
- Training providers, consultants, or auditors related to OSH matters
- Support preparation of documents and information requested by regulators, auditors, or consultants
5. Documentation & Record Management
- Maintain organised, up-to-date OSH records including:
- Policies, procedures, registers, and compliance trackers
- Meeting minutes, correspondence, and statutory submissions
- Ensure documentation is audit-ready and easily retrievable.
6. General Support
- Provide administrative and coordination support for OSH implementation programmes.
- Perform any other OSH-related duties as assigned by management from time to time.
