Job Description

Position:

Occupational Health Nursing PractitionerResponsible to maintain and grow the Charisma Client data base by identifying and registering all potential new business opportunities. Conducting medical fitness screening test and coordinating the team. In depth knowledge of the process, ensuring regular and timeous completion thereof.

Minimum Requirements:

Experience:

  • Must have + 1 years’ experience as Occupational Health Nursing Practitioner
  • + 3 Years Post Qualification Experience

Qualification:

  • Diploma in General Nursing OR Diploma in Occupational Health with Registration at SANC as Registered Nurse
  • Certificate in Audiometry
  • Certificate in Vision screening
  • Certificate in Spirometry
  • Certificate in Dispensing

Roles and Responsibilities:

Ensure payroll is set up for Independent contractors and payments are captured and processed monthly for PMI; ICAN & ATT (Companies 310 & 275).

  • Processing of Facilitator, Assessor, Moderator payments and Learner stipends/allowances monthly ensuring all documentation and payments are accurate and processed within given deadlines/time frames.
  • Keeping SOP up to date and ensure adhered to by all stakeholders

Match system:

  • Vet payroll documents – follow up on any outstanding/inaccurate information as per SOP
  • Load IC, Contractor or Learner on Match (as per SOP). Upload required documents to Match
  • Ensure migrated to Ax
  • Create job order per job type, per payroll type, per region & Division (Ensure correct contract order is linked as per on AX)
  • Complete Match pay schedule as per region input (one schedule per job type, per region, per division, per payroll type)
  • Upload to match (Fix any errors that may occur)
  • Sync to Ax

AX system:

  • Create contract order as per payroll type, per account number (ensuring all necessary fields are completed and correct)
  • Fill in document reference in journal
  • Validate journal (fix any errors that may occur in Match & re-upload)
  • Send extract to regions for checking
  • If all in order post in AX
  • Email Op’s support; Payroll and Management with payroll closure & journal numbers
  • Check net pay reports from payroll – Do any corrections if needed before payroll roll over
  • Send Payslips to regions & ATT
  • Resolve any payment queries urgently (Quick turnaround time)
  • Ensure deadlines are meet as has impact on non-payment to Independent Contractors; Contractors and Learners
  • Reports for Payroll :
  • Complete ETI Report for PMI; ICAN and ATT. Send to Payroll, Finance and Management
  • Complete Stipend & Bursary Allowance report – send to Finance and Management

UIF

Complete UIF Documents – send to requesting parties

  • UI-19 Form
  • Confirmation of payment
  • Salary Schedule
  • Payslips
  • Resolve any queries with a quick turnaround time

Manage training supplier vendor processes from quotation to delivery by supplier and payment processing and tracking of billings related to all Adcorp Group Training functions

  • Coordination of billings for Skills development interventions for all entities
  • Supplier and Vendor process management and payments administration - Ensure that Institution/Supplier is an approved supplier and or accredited
  • Book training for learners from entities by either email or completing booking form which needs to be authorized by Management
  • Complete sponsorship letters where required
  • Source suppliers for training
  • Ensure supplier is vetted by Procurement / on system. If not, Vendor to complete application form and send with required documents.
  • Send to procurement to open account. Resolve any queries if there are

PO Requisitions

  • Receive quote/invoice (Ensure spend is approved by entity)
  • Prepare PO requisition for authorization
  • Capture on Ax for PO number ensuring correct fields are populated and signed PO requisition and quote/invoice is attached to PO Order in Ax. Ensure correct VAT field is selected
  • Once PO number authorized, send to Vendor/Supplier to include on invoice
  • Once received from Supplier, ensure accurate and cost is in line with quote
  • Load invoice on SharePoint for payment
  • Send POP’s (where necessary/required) to learners/delegates and suppliers
  • Resolve any queries timeously as has impact on training dates

Intercompany Billings

  • Complete Group revenue/billings schedule for MSP-MSP and regions
  • Calculate and bill Consulting Service fee where applicable
  • Calculate monthly revenue recognition
  • Complete billing templates for MSP-MSP, and regions (Higher Education & Learnerships as well as any ad hoc billings) by due date set by Accounts Receivable
  • Once invoice is raised, check accuracy (i.e. amounts, VAT)
  • Capture corresponding invoice number on Group Revenue spreadsheet and Bursary Allowance Report and send to relevant parties
  • Send invoices to regions and any other relevant person

Skills Evidence Data:

  • Ensure SED sheets are accurately populated as per fields for all 13 entities per delegate Fields:
  • Upload SED sheet on mPowered to correct scorecard/financial year and produce Scorecard reports for each entity and consolidated - Check accuracy of upload to Scorecard (where necessary update Management control)
  • Send SED sheet and Scorecard report to entity & Management and resolve any queries
  • Assist entities with reaching target spend in the correct categories by doing scenario planning on training

Ensure all training evidence is collected documented and stored

  • Categorization of training is very important as this will determine target/gap spend
  • Ensure all evidence is received/sourced per delegate per category per entity
  • Save all evidence in Entities respective folder, per category, per learner/training intervention as per audit requirements

Annual Training Report:

  • Ensure all training interventions are captured accurately on the ATR spreadsheet (including mandatory training) as per reporting dates (March of previous year to April of current year)
  • Ensure all invoices and registers are saved and correspond to training intervention (for e.g. Dates; costs)
  • Upload report, invoices and registers to SharePoint
  • Ensure all required documentation/invoices/billings are completed accurately and submitted on time
  • Resolve any queries from Finance
  • Complete SLAs for entities annually
  • Attend meetings as required
  • Complete any audit queries (Finance, Payroll & Skills)
  • Ensure updated Supplier/Vendor B-BBEE certificates/affidavits are requested and saved
  • Assist with IAR report data for Skills Spend (Stats on number of bursaries, learnerships, duration of training (notional hours), costs per category (direct and indirect)
  • Build positive relationships with all stakeholders - Consult with stakeholders, including Management, HRBP’s, HR Support, Finance, Suppliers and delegates
  • Establish and service relationships with internal clients and colleagues to improve the effective and efficient execution of objectives in line with business requirements
  • Manage any queries from stakeholders within reasonable timelines
  • Audit support for Internal and external audits
