Truckee Meadows Community College is seeking an NSHE Specialist 1 to coordinate graduation processing, degree conferral, commencement support, and academic record maintenance. This position ensures the accuracy and integrity of student academic records while supporting student success and timely degree completion. The role requires expertise in PeopleSoft Campus Solutions, Academic Advisement Reports (AAR), OnBase, and TMCC and Board of Regents graduation policies and procedures.

The Specialist manages the auto-graduation processing by reviewing graduation candidates, resolving exception reports, evaluating Academic Advisement Reports, determining graduation eligibility, and awarding certificates and degrees. Responsibilities include processing online graduation applications through Drupal and PeopleSoft, maintaining graduation records in OnBase, communicating application status to students, and manually evaluating complex cases that cannot be processed through automation, including high school partnership programs, transfer coursework, and students pursuing credentials outside their declared academic program. The position also completes final graduation reviews for specialized student populations, including Allied Health and veteran students, to ensure compliance with institutional and accreditation requirements.

Additional responsibilities include supporting reverse transfer initiatives, posting eligible degrees, coordinating diploma orders, and maintaining accurate academic records by processing approved course substitutions, course moves, and academic requirement adjustments in PeopleSoft to ensure accurate degree audits and timely graduation.

The position also supports annual commencement activities, serving on the Commencement Committee and coordinating Admissions and Records responsibilities. Duties include ordering commencement materials, preparing graduate name cards and ceremony programs, assisting with communications, responding to student and departmental inquiries, generating participation reports, and compiling post-event statistics for institutional reporting and future planning. Commencement responsibilities comprise approximately 10% of the position.

Essential Qualifications

  • Bachelor’s degree from an accredited college or university and one (1) year of relevant experience; OR

  • Graduation from high school or equivalent education and three (3) years of program support experience equivalent to an Administrative Assistant III in Nevada state service which included applying complex laws and regulations, composing written materials and maintaining records; OR

  • An equivalent combination of education and experience as described above

Preferred Qualifications

  • Proficiency with integrated educational software system such as PeopleSoft, Colleague or Banner.

  • Experience with PeopleSoft Queries.

  • Experience in a Registrar’s office or closely related office; knowledge of and experience with the application of academic records policies and procedures.

  • Excellent analytical skills and broad scope of independent judgement and decision making related to regulatory and policy guidelines.

  • Ability to work independently and coordinate multiple and varied projects at one time.

  • Effective time management ability and attention to detail.

  • Superior written, verbal, and interpersonal communication skills.

  • Discretion, personal integrity, and superior ethics. This position deals extensively with confidential and sensitive information. Violation of these confidences could result in financial sanctions for the College and dismissal for the employee.

  • PC computer experience and MS Office suite skills, particularly Excel.

  • Ability to successfully complete Veteran’s Certifying Official training within six months of employment.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Compensation Grade

Grade 31 (Step 01, $26.07/hr)

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.
