Ben jij een organisatietalent dat energie krijgt van het coördineren van meetings en events? Dan hebben wij de uitdaging voor jou. Als Project Manager ben jij de schakel tussen onze klanten en (interne) partners. Je bent onder meer verantwoordelijk voor het zoeken naar de juiste locatie, het onderhandelen over tarieven en voorwaarden, het afsluiten van contracten en het beheren van budgetten. Afhankelijk van het project kun je daarnaast ook verantwoordelijk zijn voor deelnemersregistratie, het ontwikkelen van websites (op ons eigen platform) en ga je incidenteel mee on-site om ervoor te zorgen dat alles op locatie soepel verloopt.

Wat ga je doen:

• Je hebt de regie over het volledige traject van meetings en events, van aanvraag en locatie-selectie tot uitvoering en evaluatie.
• Je zoekt de meest geschikte hotels en locaties op basis van de wensen van de klant
• Je onderhandelt offertes van leveranciers voor de beste tarieven en voorwaarden
• Je bewaakt het budget en houdt grip op alle kosten
• Je stuurt leveranciers aan tijdens het gehele proces
• Je rapporteert in onze interne systemen op meeting informatie en budget
• Je neemt deel aan events die georganiseerd worden door onze partners
• Je initieert procesverbeteringen die aansluiten bij de strategie van het bedrijf
• Je gebruikt je creativiteit om het event voor de klant tot een succes te maken

Wat goed is om te weten:

• Onze projecten variëren van kleine bijeenkomsten met 10 tot grotere evenementen met 500 deelnemers
• De communicatie binnen ons team is open, flexibel en transparant
• Jij bent de expert voor onze klanten en verantwoordelijk voor het volgen van alle processen
• We werken voornamelijk vanuit huis, maar we komen elke week samen op ons hoofdkantoor in Utrecht

Wat neem je mee:

• Een Bachelor diploma of vergelijkbare ervaring met een zakelijke focus
• Ervaring in meeting- of eventmanagement in een internationale of corporate omgeving.
• Algemene kennis van bestemmingen, hotels en leveranciers is een must
• Uitstekende mondelinge en schriftelijke communicatieve vaardigheden in het Nederlands en Engels
• Ervaring met Office 365
• Kennis van Cvent is een plus

Project Manager, Meeting Management

Are you an organised professional who thrives on coordinating meetings and events? Then this could be the opportunity for you. As Project Manager, you will act as the link between our clients and internal partners. Your responsibilities will include sourcing the right venue, negotiating rates and terms, contracting, and managing budgets. Depending on the project, you may also be responsible for attendee registration, website development (on our in-house platform), and occasionally providing onsite support to ensure everything runs smoothly.

We are looking for someone who can deliver high-quality meeting support, maintain a clear overview, and manage multiple projects at the same time. If this sounds like your next career move, read on.

As a Project Manager you will:

• Have overall responsibility for the planning and execution of events
• Source hotel/venue availability based on the program specifications
• Utilize and leverage Client preferred hotel agreements when negotiating hotel contracts
• Ensure supplier quotations are fully negotiated to secure the best possible rates and conditions
• Manage external vendors and suppliers – for sourcing, negotiating, contracting and event delivery
• Financial responsibility of the event budget – from budget preparation to final reconciliation
• Participate in events organized by our partners
• Track and report hotel room nights, spending, and cost savings
• Ensure the integrity of technology-related data
• Initiate process improvements that align with the client’s strategies and long-term goals

You should know:

• Programs will vary in scopes and size, ranging from 10 to 500 attendees
• Communication within the team is open and flexible
• You will be responsible for adhering to all processes and serving as your client’s subject matter expert
• The role is home-based, but the team meets once a week at our head office in Utrecht

What we are looking for:

• BA preferred or similar level of experience with a business focus
• Experience in meetings management, understanding of meeting types and considerations
• General knowledge of destinations, hotels, and suppliers
• Excellent oral and written communication skills in both Dutch and English
• Proficiency with Microsoft Office 365
• Knowledge of Cvent is a plus
