Job Description

The National Sales Administrator 1 contributes to the efficient operation of the Mainstream Market by providing vital support to the sales team. This role is responsible for essential office and administrative functions, including order entry, telephone inquiries, and processing orders from customers and sales personnel. Additionally, the National Sales Administrator 1 provides independent data entry and management for the division, assists with brand marketing programs, and coordinates cross-company promotions and marketing campaigns.
• Provide exceptional customer service by maintaining a professional and friendly environment, assisting all contacts promptly, and developing a foundational knowledge of the company’s product line.
• Process customer sales orders and purchase orders accurately using the Oracle ERP system.
• Respond to customer inquiries via phone, email, or mail regarding order status, unit pricing, inventory levels, and potential shipping delays.
• Address customer complaints or inquiries efficiently, escalating complex issues to the appropriate personnel when necessary.
• Maintain professionalism and stay updated on new product launches to recommend suitable alternatives for out-of-stock items.
• Monitor inventory levels to determine the availability of requested merchandise for the sales team.
• Organize and file documents according to standard operating procedures (SOPs) to ensure quick retrieval for sales audits or customer requests.
• Collaborate with the sales team, warehouse, and office personnel to expedite orders and resolve logistical bottlenecks.
• Coordinate with the customer service department to ensure timely and accurate deliveries.
• Execute daily administrative tasks, including printing invoices, matching purchase orders, processing payments for the accounting department, and maintaining permanent files.
• Communicate product information to customers, including pricing, lead times, and value-added product features.
• Compile sales data and assist in drafting monthly and annual reports regarding sales figures and market trends for internal distribution.
• Support market research initiatives and maintain awareness of competitor activities within the mainstream market.
• Participate in quarterly physical inventory (PI) counts, including occasional weekend support as required.
• Assist in the creation and editing of sales and marketing collateral, such as presentations, articles, and white papers.
• Support the organization’s brand presence across various media platforms, including social media channels.
• Utilize strong organizational skills to compose, edit, and proofread written documents while maintaining version control.
• Perform other related duties and administrative projects as assigned.
Experience/ Training/ Education
• High School Diploma or equivalent required
• Associates degree in Business, Communications, or a related field is preferred.
• Experience in an office environment, sales support, or business experience.
• Experience with MS Office – Excel, Outlook, and Word.
Knowledge, Skills, and Ability
• Basic familiarity with, or the ability to be trained on, Oracle or similar ERP systems (SAP, Microsoft Dynamics) for order processing.
• Strong knowledge of Microsoft Office Suite (Word, Outlook, Access, and PowerPoint). Intermediate Excel skills are required, including the use of basic formulas, data sorting, and table formatting.
• Exceptional keyboarding skills with a high level of accuracy in data entry and the ability to manage both physical and digital filing systems.
• Foundational knowledge of company food products, general office operations, and sales procedures.
• Ability to speak and write concisely and effectively across all levels of the organization and with external clients via phone, email, and in person.
• A "service-first" mindset with the ability to maintain professionalism, tact, and sensitivity when resolving customer inquiries or complaints.
• Strong interpersonal skills to initiate and sustain productive business relationships with customers, vendors, and internal teams.
• Ability to listen to, understand, and follow complex written or oral instructions accurately.
• Exceptional attention to detail regarding order numbers, unit pricing, inventory levels, and shipping dates.
• Ability to organize and prioritize a high volume of administrative tasks to meet strict daily deadlines and cut-off times.
• Self-motivated with the ability to respond quickly to a fast-moving and ever-changing business environment.
• A collaborative attitude with the ability to work effectively alongside warehouse, sales, and accounting personnel.
• A positive work history with a proven ability to maintain solid attendance.
Working Conditions:
Typically works a standard 40-hour week in a professional office environment. However, shift flexibility or overtime may be required during peak business periods. Requires sitting for extended periods. Candidates should be comfortable working in a high-activity office environment with noise levels typical of standard office machinery. The role is both stimulating and demanding. The ability to remain effective under pressure is essential, particularly when schedules shift or unexpected challenges arise, to ensure all deadlines and goals are met. The National Sales Administrator 1 will occasionally spend time in the warehouse to conduct inventory audits and monitor product preparation for customer pickups or shipments.
