Summary

The Facilities Supervisor is responsible for overseeing the day-to-day operations of the corporate headquarters and ensuring the delivery of high-quality workplace services that support employees and business operations. This role provides direct supervision of Facilities administrative and analyst staff while managing workplace operations, vendor performance, facility maintenance activities, purchasing processes, invoice administration, and facility-related projects.

Compensation

$65,000 - $84,000 yearly salary range. (Subject to Compensation Study Upon Candidate Selection)

Responsibilities

Corporate Headquarters Operations

Oversee the day-to-day operations of the corporate headquarters and ensure a safe, functional, and professional workplace environment.

Manage workplace service requests and employee support activities.

Serve as the primary escalation point for facility-related issues and workplace concerns.

Ensure conference rooms, common areas, breakrooms, and employee amenities are maintained to company standards.

Invoice, Purchasing & Financial Administration

Supervise facility-related purchasing activities and ensure timely processing of invoices and vendor payments.

Review and approve invoices for accuracy, supporting documentation, budget compliance, and proper coding prior to payment processing.

Track purchase orders, contracts, recurring service agreements, and operating expenditures.

Investigate and resolve vendor billing discrepancies, service disputes, and payment inquiries.

Maintain expense records and prepare reports to support department budgeting and financial planning.

Team Leadership & Operational Oversight

Directly supervise Facilities Administrators and Analysts, providing guidance, prioritization, training, and performance management.

Allocate workload among team members to ensure service requests, projects, and recurring operational tasks are completed efficiently.

Develop and implement departmental procedures, service standards, and operational best practices.

Monitor key operational metrics and identify opportunities to improve efficiency and service delivery.

Projects & Workplace Improvements

Coordinate office renovations, furniture installations, signage projects, workplace enhancements, and facility upgrades.

Track project schedules, budgets, vendor deliverables, and completion milestones.

Serve as the Facilities lead for internal stakeholder coordination during office reconfigurations and workplace improvement initiatives.

Support construction activities, landlord coordination, punch list management, and project closeout activities.

  • Experience with budgeting, cost control, and financial reporting
  • Experience managing facility-related contracts and vendor relationships
  • Familiarity with facilities management, procurement, or workplace management systems
  • Experience supporting employee engagement, workplace experience, or corporate events
  • Experience developing and implementing operational procedures, service standards, and process improvements
  • Experience managing or supervising administrative, facilities, or workplace operations teams

Education & Experience

  • Bachelors Required
  • 6 - 9 years of direct experience in Finance, Accounting
  • 1 - 3 years supervisory experience
