
Special Assistant
to the President

This position provides specialized assistance to the President of Northeastern State University.
MAJOR DUTIES
Coordinate special projects and events.
Arrange the travel for the President and his or her representatives.
Develop data and maintain invitation lists and correspondence for special events.
Maintain confidentiality of records and information.
Serve as liaison to the Regents of the Regional University System of Oklahoma.
Research and compile reports.
Greet visitors; provide information and assistance.
Assist Executive Assistant as necessary.
Assist General Counsel with the contracts process to include: maintaining contract log, scanning, and electronic filing.
Perform related duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION
Knowledge of university policies and procedures.
Knowledge of modern office practices and procedures.
Knowledge of computers and job-related software programs, including mastery of all components of Microsoft Office Suite.
Knowledge of event planning principles, and demonstrated skill in their execution.
Knowledge of university travel policies.
Knowledge of and skill in the use of correct grammar.
Skill in the use of modern office equipment.
Skill in the provision of customer service and problem solving.
Skill in oral and written communication.
SUPERVISORY CONTROLS
Work is assigned in terms of general instructions; the employee is then responsible for making sure all work completed is of the highest quality. The supervisor or his/her designee spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.
GUIDELINES
Guidelines include Regional University System of Oklahoma policies, Oklahoma State Regents for Higher Education guidelines, and university policies and procedures. These guidelines are generally clear and specific, but may require some interpretation in application.
COMPLEXITY/SCOPE OF WORK
The work consists of varied specialized duties. Frequent interruptions contribute to the complexity of the position.
The purpose of this position is to provide specialized support for the President’s Office of Northeastern State University. Success in this position contributes to the efficiency and effectiveness of office operations.
CONTACTS
Contacts are typically with co-workers, other college personnel, students, parents, faculty, travel agents, and members of the general public.
Contacts are typically to provide services, to give or exchange information, or to resolve problems.
PHYSICAL DEMANDS/ WORK ENVIRONMENT
The work is typically performed while sitting at a desk or table. The employee occasionally lifts light objects.
The work is typically performed in an office.
SUPERVISORY AND MANAGEMENT RESPONSIBILITY
This position has direct supervision over assigned student workers.
MINIMUM QUALIFICATIONS
Knowledge and level of competency commonly associated with the completion of a baccalaureate degree in a course of study related to the occupational field.
Sufficient experience to understand the basic principles relevant to the major duties of the position, usually associated with having had a similar position for one to two years.
A minimum of two years direct experience in event planning.
Possession of or ability to readily obtain a valid driver’s license issued by the State of Oklahoma for the type of vehicle or equipment operated.
PREFERRED QUALIFICATIONS
Direct work experience in the office of a chief executive.
Annual salary $37,908.00 with excellent benefits, including generous leave time.
