The Move Project Manager (Move PM) is responsible for delivering comprehensive relocation project management services for large and multi-phased office restacks, phased moves, and renovation/expansion projects for the client. This dedicated resource will act as a key liaison between the client's business lines, strategic relationship managers (SRMs), occupancy planning, and external vendors, ensuring all activities are aligned with the client's standards and JLL best practices. The Move PM will be accountable for end-to-end move planning, execution, closeout, and the ongoing accuracy of occupancy and move data, thereby supporting risk mitigation and future workplace strategy.

Key Responsibilities

  • Project and Move Management
    • Plan, manage, and execute large-scale (100+ person) multi-phased restacks and relocations aligned with construction milestones and occupancy needs.
    • Develop, maintain, and communicate detailed move schedules and sequencing plans to all stakeholders.
    • Own, maintain and navigate the move matrix from initial planning through project closeout, ensuring data completeness and accuracy.
    • Lead and facilitate move meetings, clearly communicating client and JLL standards, expectations, and deliverables.
    • Proactively identify, escalate, and resolve issues to mitigate risks and avoid project disruptions.
    • Serve as the single point of contact for all move-related updates, both for internal teams and external vendors.
  • Occupancy Planning Support
    • Ensure timely and accurate move data is delivered and recorded, with early notification of any project delays that could impact downstream or backfill moves.
    • Develop and communicate clear phasing plans for projects involving moves in multiple stages.
    • Provide move matrices in advance of move day, aligned with client's occupancy planning data management, floor, and seating codes, ensuring readiness for system updates.
    • Conduct post-move verification of day-of changes to guarantee systems are updated accurately, reducing risk in occupancy reporting, modeling, and planning.
    • Ensure workstation nameplates and office numbering align with final signage and are updated post-move.
  • Project Closeout and Quality Assurance
    • Support accuracy in project closeout documentation and reduce rework by managing controlled updates to move data and minimizing data gaps.
    • Verify and confirm all areas are properly decommissioned at project conclusion.
    • Coordinate early on the provision and release of temporary swing space to facilitate seamless moves.
  • Operational Excellence & Compliance
    • Ensure all move activities comply with documented processes, client and JLL policies, including adherence to key performance indicators.
    • Regularly prepare project status reports, process purchase orders/invoices, update tracking reports, and maintain files for due diligence and financial documentation.
    • Incorporate industry best practices into move management activities to continuously improve client satisfaction and project outcomes.
    • Meet assigned financial targets and manage budgets, RFPs, and vendor contracts as required.
