Position: Ski & Board School Scheduler
Our Ski and Board School is integral to the success of the Big White Ski Resort Team. We deliver on our company's promise to guests by making their experience memorable. As Schedulers, you aim to connect the right instructor to the client so the magic can happen!
This position has been created to ensure we deliver seamless experiences for guests, no matter what product they have booked: private, group lessons, or one of our specialty programs.
As part of our team, you will work closely with the administrative team, the Kids' Center and Adult Management Teams, Central Reservations Sales agents, VCM Sales Desk agents, and both Technical Directors, while reporting to the Director of Mountain Sports and providing necessary updates on potential scheduling issues.
About the Role
The scheduler needs to fully understand the Ski & Snowboard product offerings, each instructor's technical and soft skills, and our guests' desires. Knowing this will enable you to effectively plan and manage the instructor scheduling platform for Ski and Snowboard School Instructors.
You will work closely with the on-snow Supervisor teams, ensuring they have the most accurate, up-to-date information to enable seamless operations.
- Reporting to the Director of Mountain Sports.
- The role is a primary administrative/indoor position, working up to 8 hours/day, up to 5 days/ week. Starting late October to early November, ending in early April
- The starting wage is $25.00 per hour.
Key Performance Indicators include:
- Optimizing staff availability to meet the demand for lessons, short and long-term (months ahead).
- Effectively working with all supervisors, communicating up-to-date information. Using the Management team's knowledge base when needed to enable you to make the best decisions in real time.
- Making timely decisions to maximize revenues, yield, maintain guest retention, and improve external and internal customer experiences.
- Balancing instructors' ability to maximize their income while managing their clients' wants and the Ski & Board School business requirements.
- Manage instructor availability and assign the best instructor to teach each lesson to improve our chance of retention with our guests.
- Making decisions to use labour as efficiently as possible while ensuring our guests receive the highest quality and value lesson experiences we can deliver.
What you need to bring to this position / What we are looking for
- Quick thinker and agile problem solver, able to communicate quickly and effectively.
- Working collaboratively across multiple teams to deliver an exceptional guest and instructor experience.
- Empathetic communicator- being a good listener, collaborating with your scheduling team members, advising all required parties of the Ski & Board School team (instructors, supervisors, managers), VCM Sales Team and the Central Reservations Call Center sales team.
- Competency in IT, including use of Microsoft Office (Word, Excel) and Working experience with scheduling systems such as RTP1, Flaik or similar products
- Proven track record of being able to multitask, comfortable working in a fluid environment, working with constant changes in the daily rescheduling of instructors, and overseeing guests’ bookings.
- A commitment to delivering an exceptional guest and employee experience—Employee and Customer satisfaction is critical to our business success.
- Working experience collaborating with multiple departments, i.e. Marketing, Food & Beverage team, on content and booking information, with tight timelines
Skills and Qualifications
- Previous experience working in a Ski School environment; instructing or coaching experience would be an advantage, but is not essential.
- Administration/Business/Marketing experiences.
- Experience with software packages and scheduling software, i.e., RTP1, Flaik, is advantageous.
- Experience with planning /scheduling a large number of employees.
- Proven track record with multitasking, decision-making, and attention to detail experience.
