The Mortgage Title Processor (Deeding) supports Mortgage Banking operations by processing and maintaining deeds, mortgage documentation, title records, and other real estate documents throughout the deeding and funding lifecycle. This position reviews and researches property and mortgage records, identifies and resolves documentation discrepancies, and helps ensure accurate and timely title and deed processing.

Working closely with lenders, attorneys, escrow agents, custodians, and internal business partners, the Mortgage Title Processor supports mortgage funding, collateral administration, regulatory compliance, and the integrity of property ownership records. This role is ideal for someone with experience in mortgage banking, title processing, escrow, loan servicing, real estate documentation, or legal document processing who enjoys detailed research and working in a deadline-driven environment. What You Will Do

  • Review assigned accounts and deeding batches to identify missing, incomplete, or inaccurate documentation that could impact deeding or funding timelines.
  • Prepare and process deeding, funding, mortgage, and ownership documents in accordance with established procedures and lender requirements.
  • Research and resolve document deficiencies, title issues, funding exceptions, and other discrepancies using internal systems and public records.
  • Coordinate with attorneys, custodians, lenders, escrow agents, and internal teams to support timely deeding, funding, and collateral processing.
  • Monitor assigned work and prioritize tasks to meet critical deeding, funding, and operational deadlines.
  • Maintain accurate records, system notes, transmittals, document images, and tracking information throughout the document lifecycle.
  • Use document management and workflow systems, including ImageQuest and ServiceNow, to research, retrieve, scan, attach, and process records.
  • Locate and verify recorded deeds, mortgage documents, and other legal records through internal systems and public-record sources.
  • Process and maintain recorded legal document information, including book, page, and recording details.
  • Support the processing of Quit Claim Deeds, Warranty Deeds in Lieu of Foreclosure, and other ownership-related documentation.
  • Track mortgage collateral and document movement between Westgate, attorneys, custodians, and lending institutions.
  • Assist with collateral release and reassignment requests for loans that are no longer eligible for lender portfolios.
  • Respond to document requests and inquiries from internal departments and external business partners in a timely and professional manner.
  • Perform quality-control reviews to ensure documents and records are complete, accurate, and properly maintained.
  • Provide status updates to leadership and assist with related document filing, mail, and departmental support as needed.

What You Will Bring

Experience:

  • 1–2 years of experience in mortgage banking, title processing, escrow, real estate documentation, loan servicing, legal document processing, records administration, or a related administrative environment preferred.
  • Experience reviewing, researching, processing, or maintaining mortgage, title, deed, real estate, financial, or other legal documentation strongly preferred.
  • Experience communicating and coordinating with external business partners such as lenders, title companies, attorneys, escrow agents, custodians, or financial institutions is a plus.

Education & Certifications

  • High school diploma or general education degree (GED).
  • Associate degree in Business Administration, Finance, Real Estate, Legal Studies, or a related field preferred but not required. An equivalent combination of education and relevant experience may be considered.

Skills/ Knowledge

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Strong data entry and record-keeping skills with attention to detail.
  • Ability to maintain confidentiality and handle sensitive information.
