Job Description

The Mortgage Receptionist provides front-line reception and administrative support to the Mortgage Department. Serving as the first point of contact for clients and visitors, this role plays a key part in creating a positive experience while supporting the department's daily clerical, administrative, and operational needs.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Retrieve voice mail messages and forward them to appropriate personnel in a timely manner.
  • Answer incoming telephone calls, determine the purpose of callers, and direct calls to the appropriate personnel or department.
  • Take accurate messages and deliver them via email to appropriate personnel when they are unavailable.
  • Respond to general inquiries about the organization and provide callers with information such as addresses, directions, and basic service details.
  • Welcome and assist on-site visitors, determine the nature of their business, and notify appropriate personnel of their arrival.
  • Schedule and manage daily appointments for all Loan Officers using Office Tracker or other designated scheduling systems.
  • Maintain and update process manuals for each assigned location.
  • Maintain responsibility for lobby areas, including opening and locking doors as required and ensuring the lobby remains clean, organized, and professional in appearance.
  • Order and maintain office and lobby supplies to ensure adequate inventory.
  • Perform general clerical duties as assigned, including filing, photocopying, scanning, and collating documents.
  • Complete all position-specific compliance, regulatory, and other required training within designated timeframes.
  • Perform other duties and special projects as assigned.
  • Adheres to Seacoast Bank’s code of conduct.

EDUCATION and/or EXPERIENCE:

  • High school diploma or equivalent required.
  • Proficiency in Microsoft Word and Excel required.
  • Ability to learn and use internal systems and office technology.
  • Ability to read and interpret documents such as safety rules, operating instructions, and procedural manuals.
  • Ability to write routine reports and correspondence.
  • Strong verbal communication skills with the ability to speak effectively with customers, visitors, and employees.
  • Professional demeanor with a strong customer service focus.
