Responsible for project development, planning, and implementation of new and expanded programs in conjunction with executives. Provides programmatic support to the individual executives, as well as the programs that they create, manage, and oversee. Independently performs a wide range of administrative duties, support, and coordination of projects in a rapidly changing environment. Responsible and accountable for the coordinated management of multiple projects directed toward strategic business and other organizational objectives. The position supports the development and implementation of strategic initiatives by assisting with the creation of comprehensive program plans for key organizational initiatives.

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

  1. Bachelor’s Degree in Business Administration, Healthcare Administration, or related field.

EXPERIENCE:

  1. Two years of healthcare, project management, or related experience.
  2. Two years of high level administrative experience.

  1. Leads, coordinates, and has direct responsibility for a wide variety of special projects on behalf of the Executive Director of Neuro and/or hospital leadership staff.
  2. Provide exceptional comprehensive support to the Executive Director of the Rockefeller Neuroscience Institute (RNI): scheduling of meetings, preparing and processing all correspondence, answering and screening calls, and maintaining all files.
  3. Initiates programs in direct consultation with Executive Director and coordinates their implementation and completion in collaboration with appropriate internal and external customers.
  4. Responsible for effective communication and regular reports of project status.
  5. Develops and coordinates communication to all program stakeholders and other necessary individuals/groups.
  6. Enhances department and organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
  7. Coordinate complex travel arrangements as required and arrange for special travel requirements.
  8. Drafts, proofreads, prepares, organizes, and coordinates the preparation of correspondence, complex itineraries, publications, data, and materials for emails, newsletters, presentations and reports.
  9. Conducts interviews and facilitates training of the neurosciences program’s staff.
  10. Plans, organizes, and facilitates special events including retreats, seminars, award ceremonies, workshops and conferences. Participates as appropriate. Solicits and engages volunteers and planning committees for special programs and projects as necessary.
  11. Collects agenda items, prepares agenda and composes minutes as requested. Collects information and creates reports from established data and/or departments.
  12. Assists the Executive Director of the RNI with national, state and local governmental affair matters, including document preparation, meeting coordination and problem solving. Promotes and maintains effective communication both written and orally with and between local, state and national government officials.
  13. Provides administrative oversight and supervision of neurosciences program staff which may include assignment of tasks.
