Job Description

Worksundergeneralsupervisiontoperformavarietyofentry-levelclericaladministrative duties that may require use of limited independent judgment and skill in processing communicatingcreatingand/ormaintainingvariousrecordsfilesandinformationregarding specific departmental functions.

Pay Grade: 41H

Salary Commensurate with Experience and Education

Minimum Qualification

  • Two(2)yearsofexperienceinappropriateclerical,bookkeeping,dataprocessingor statistical work; AND
  • HighschooldiplomaorpossessaGED; OR
  • One(1)yearofappropriateclerical,bookkeeping,dataprocessingorstatisticalwork experience and one (1) year of college study (30 semester hours or 36 quarters).
  • PROOFOFEDUCATION,TRAININGAND/OREXPERIENCEIS REQUIRED.

Duties and Responsibilities

  • Processes and/or enters pertinent data into the computer or other record format for processingorissuingdepartmentspecificapplications,registrations,permits,licenses, documents; etc.
  • Composesletters,memoranda,reportsforreviewandsignature.Filesandmaintainscontrol records. Operates office machines.
  • Greetscustomersandanswersquestionsbytelephoneorinpersonconcerningdepartmental policies, procedures and work functions.
  • Collectsfeesandotherrequiredmonetarychargesrelatedtodepartmentspecificservices and processes.
  • Maintainsandbalances cashdrawers,if applicable intheprocessingofapplicablefees or othermonetarycharges,calculatesdailyrevenuesreceivedbybalancingcashdrawersand recording revenue.
  • Receives,reviewsandprocessesrecords,reportsandothervariousdocumentsasrequired for accuracy and/or conformance with established policies and procedures.
  • Mailsorissuesinpersondepartmentspecificauthorizeddocumentsormaterialsas required.
  • Obtainsdatafromvarioussourcestoprepareandcompilestandard reports.
  • Relievesor assistsother clericalemployeesinassignedwork area.

  • Knowledgeofmodernofficepractices,proceduresandequipment;skilledatoperatingoffice equipment.
  • AbilitytobecomeproficientinMicrosoftWordandExcel.Familiaritywithcomputerized databases.
  • KnowledgeofBusinessEnglishand math.
  • Abilitytocommunicatewithstaff andthepublicwithcourtesyand tact.
  • Abilitytoplan,organizeandmaintainanevenflowof work.
  • Abilitytoexpressideasclearly,conciselyandeffectively,verballyandin writing.
  • Abilitytoresolveproblem situations.

Shelby County Resident Disclaimer

All employees hired after September 1, 1986, must be residents of Shelby County and shall continue to reside in the County as a condition of their employment. The residency requirement shall not apply to certain public safety/civil service employees. This means exemption from this policy is in effect for the following departments and positions: (1) Sheriff Deputy Patrol Officers, Deputy Jailers and Dispatchers, employed by the Sheriff Department, (2) Correction Officers employed by the Division of Corrections, (3) Firefighters, Paramedics and Dispatchers employed by the Shelby County Fire Department. The residency exemption for public safety/civil service employees does not include Appointed positions with Sheriff’s Office, Division of Corrections or the Fire Department.
