Position Summary
The Ministry Assistant (MA) provides essential administrative and program execution support to Congregational Care and Faith Formation ministries. Providing logistical organization, a keen attention to detail, and professional discretion, the Ministry Assistant supports the pastoral and program staff offer care ministries and spiritual formation engagements reflecting the generous welcome of the church’s mission.
Essential Functions
· Provide general administrative support to Congregational Care and Faith Formation ministries and program staff leaders, including preparations for meetings (Deacons, Formation Formation), gathering information, supply materials, coordinating schedules.
· Manage communications and on-call assignments for the pastoral care team, ensuring that someone is assigned to respond to all pastoral care needs.
· Work alongside the Pastor for Care + Belonging to maintain the church’s weekly prayer list.
· Provide administrative support for memorial service planning and care of the church columbarium.
· Assist with curriculum orders and distribution to leaders and class members.
· Assist with processing background checks for adults working with minors and vulnerable adults; report updates needed for training and forms.
· Maintain attendance records for church programs, including weekly studies and classes.
· Manage and ensure that individual profile records in the church membership database are kept up to date.
· Administratively assist with Faith Formation larger projects throughout the year, e.g.: special lecture series, seasonal devotional projects, advent festival, fall kickoff, Vacation Bible School + Jam Camp, etc.
Other Functions
· Answers phone calls and dispatches them to appropriate parties.
· Coordinate event registrations and sign-ups, as requested.
· Order flowers for special occasions like Easter and Christmas, memorial services.
· Assist in recruitment of Hospitality Partners for memorials and special worship services.
· Perform other duties as assigned by the Associate Pastor for Care + Belonging and Resident Scholar for Faith Formation.

· Demonstrated experience working successfully with teams reflecting diverse backgrounds.
· Digital proficiency, including facility with Microsoft Office Suite and readiness to navigate various data management platforms.
· Successful completion of a criminal background check and child protection training (required of all employees).
