Shift 8 hours per day (8:00 a.m.–5:00 p.m., with a one-hour lunch)

Hourly Wage $22.00–$33.50 /HR

Purpose and Scope of Position

Dumas is seeking an organized and dependable Mine Clerk to provide administrative support at the Galleon Gold – West Cache Project in Timmins, Ontario.

Reporting to the Project Superintendent, the Mine Clerk is responsible for site administration, payroll documentation, purchase requisitions, employee records and communication between the project site and Dumas’ head office.

The successful candidate will be detail-oriented, safety-conscious and comfortable managing multiple administrative priorities in a fast-paced mining environment. This position is well suited to an individual who communicates effectively, maintains accurate and confidential records and provides reliable support to employees, supervisors and corporate departments.

Qualifications and Experience

  • High school diploma or equivalent.
  • Previous administrative, clerical, payroll or site-office experience.
  • Experience working in mining, construction or another industrial environment would be considered an asset.
  • Proficiency with Microsoft Office, including Excel, Word and Outlook.
  • Strong computer, typing, filing and data-entry skills.
  • Experience preparing payroll documentation, purchase requisitions or employee records would be considered an asset.
  • Strong organizational and time-management abilities.
  • Ability to maintain accurate and confidential records.
  • Ability to work independently and collaboratively as part of a team.
  • Fluency in both official languages would be considered an asset.
  • A safe work record and strong knowledge of workplace health, safety and environmental requirements.
  • Candidates should reside in or near the Timmins area.

Specific Duties and Responsibilities

Site Administration and Operational Support

  • Demonstrate the core values, vision and Code of Conduct of Dumas.
  • Receive, review and clarify daily lineups as required.
  • Provide administrative support to the Project Superintendent, site supervisors and employees.
  • Answer telephone calls, direct inquiries and gather information for site supervisors and head-office personnel.
  • Complete typing, filing, scanning, copying and general office duties.
  • Record and distribute meeting minutes as required.
  • Maintain an organized, efficient and professional site office.
  • Respond promptly and professionally to administrative inquiries.
  • Perform other reasonable duties as assigned by supervision.

Payroll and Employee Administration

  • Collect, review and submit employee timesheets and payroll information.
  • Prepare and submit payroll deduction forms as required.
  • Respond to head-office inquiries concerning new hires, employee transfers, rate changes, terminations, benefit documentation and timesheets.
  • Maintain accurate and confidential employee files.
  • Ensure employee files include required documentation, such as résumés, training records and employment forms.
  • Assist with the administrative requirements associated with employee onboarding, transfers and departures.
  • Follow up on missing, incomplete or inaccurate documentation.

Purchasing and Site Supplies

  • Prepare and submit purchase requisitions accurately and promptly.
  • Order coveralls, personal protective equipment and other site supplies as required.
  • Maintain records relating to purchase requisitions, orders and site-issued supplies.
  • Follow up on outstanding requests and communicate priority requirements to the appropriate departments.
  • Work with site personnel and head office to help ensure required materials and supplies are available.

Records and Communication

  • Maintain accurate electronic and paper-based administrative records.
  • Organize and file payroll, purchasing, employee and operational documentation.
  • Act as a liaison between the project site and Dumas’ head office.
  • Communicate site information and documentation to the appropriate departments in a timely manner.
  • Protect confidential employee and company information.
  • Ensure records are complete, accessible and retained in accordance with company procedures.

Health, Safety and Environmental Responsibilities

  • Select, inspect, maintain and use the appropriate personal protective equipment.
  • Understand and follow applicable lockout procedures.
  • Complete initial workplace and equipment inspections using the five-point safety system and continue applying the system throughout the shift.
  • Ensure the work area is prepared safely and efficiently before work begins.
  • Maintain good housekeeping and comply with all applicable health, safety and environmental policies and regulations.
  • Immediately report unsafe conditions or actions to supervision.
  • Correct or isolate unsafe conditions immediately when it is safe and practical to do so.
  • Participate in required safety meetings, training and workplace inspections.
  • Complete all duties in a manner that protects employees, property and the environment.
