Job Description
Who We Are
At Health Haven and Health Synergy Clinical Research, we are building a modern and integrated model of psychiatric care that combines high-quality outpatient treatment, interventional psychiatry, and industry-sponsored pharmaceutical clinical research. Our mission is to provide compassionate, evidence-based mental health care while advancing psychiatric treatment through ethical clinical research and innovative therapeutic approaches. With continued expansion across Florida, we offer opportunities to grow within a collaborative, high-performing environment focused on clinical excellence, innovation, operational efficiency, and exceptional patient experiences. We are committed to helping our employees thrive professionally while working alongside a multidisciplinary team dedicated to outstanding care and operational excellence.
Who You Are
You are a hands-on healthcare leader who thrives in a high-volume, fast-paced environment and takes personal ownership of clinic performance. You combine operational discipline, analytical thinking, and staff accountability with genuine compassion for patients experiencing mental health challenges. You identify problems before they escalate, build effective systems, communicate directly, and follow through on measurable goals. You are comfortable working across multiple locations, partnering with providers, improving patient access, and strengthening revenue-cycle performance. You are resourceful, resilient, organized, and motivated by the opportunity to help build a growing mental health organization.
What You’ll Do
The Mental Health Clinic Practice Manager oversees daily clinic operations, patient experience, staff performance, and growth across Health Haven’s outpatient locations. This hands-on leadership role focuses on patient access, provider productivity, documentation, revenue-cycle performance, retention, and referral development while maintaining safe, compassionate care. The manager is also responsible for ensuring clinics remain clean, organized, well-stocked, and welcoming. The ideal candidate is proactive, resourceful, and accountable, with the ability to build strong relationships, improve workflows, solve problems, and deliver measurable results while supporting clinical excellence and organizational growth.
- Clinical-Research Referral Coordination: Coordinate appropriate referrals to Health Synergy Clinical Research, educate staff on approved referral procedures, protect patient privacy, and ensure research participation remains voluntary and separate from routine treatment decisions.
- Community Outreach and Referral Development: Build relationships with hospitals, medical practices, behavioral health programs, and community organizations. Conduct outreach, track referral conversion, and collaborate with marketing to increase appropriate patient referrals.
- Documentation and Quality Monitoring: Monitor timely, accurate, and complete clinical documentation, coordinate resolution of deficiencies, and implement workflow improvements while maintaining documentation integrity and compliance.
- Multi-Site Clinic Operations: Oversee daily operations across locations, including staffing, patient flow, scheduling, supplies, office cleanliness, and facility readiness. Standardize workflows, maintain organized systems, and address operational or compliance concerns promptly.
- Patient Experience and Retention: Maintain a welcoming, compassionate environment, address patient concerns, monitor satisfaction and retention, and coordinate follow-up to support access and continuity of care while protecting privacy and patient dignity.
- Provider Engagement and Performance: Build strong provider relationships, monitor productivity and documentation, resolve workflow barriers, support onboarding, and address performance concerns while prioritizing clinical quality and appropriate care.
- Revenue-Cycle Performance: Partner with billing, credentialing, and finance teams to improve insurance verification, authorizations, claim resolution, and accounts receivable while reducing preventable denials and maintaining accurate, ethical billing.
- Scheduling and Patient Access: Optimize provider schedules, fill cancellations, reduce preventable no-shows, monitor appointment utilization, and coordinate patient follow-up while ensuring scheduling practices support clinical needs and safe care.
- Staff Leadership and Accountability: Supervise, coach, and develop designated clinic staff, establish clear expectations, monitor performance, address workflow issues, and promote accountability, collaboration, and professional growth.
- Systems Improvement and Operational Reporting: Maintain a multi-site operations dashboard, monitor key performance indicators, identify operational gaps, standardize workflows, and implement solutions that improve efficiency and measurable results.
- Other Duties as Assigned: Perform additional responsibilities consistent with the role and organizational needs as Health Haven continues to grow.
What You’ll Bring
- Education: Bachelor’s degree in healthcare administration, business administration, management, public health, or a related field preferred. Equivalent healthcare operations and leadership experience may be considered.
- Healthcare Operations Experience: Management or supervisory experience in healthcare, behavioral health, outpatient medical practices, or high-volume service environments. Multi-site clinic management and multidisciplinary team leadership are strongly preferred.
- Leadership and Accountability: Ability to set expectations, coach employees, address performance concerns, manage competing priorities, and achieve measurable operational goals.
- Mental Health Patient Engagement: Ability to communicate calmly and compassionately with patients and families experiencing stress, frustration, anxiety, or behavioral health symptoms while maintaining professional boundaries and escalating concerns appropriately.
- Operational and Analytical Skills: Strong organization, problem-solving, communication, and project-management skills, with the ability to evaluate performance data, identify workflow gaps, and implement solutions.
- Provider and Staff Collaboration: Ability to build effective relationships with providers and clinical teams, resolve operational barriers, and communicate expectations clearly and respectfully.
- Revenue-Cycle Knowledge: Familiarity with insurance verification, prior authorizations, medical billing, claim denials, accounts receivable, and healthcare documentation requirements.
- Technology Proficiency: Experience using electronic health records, scheduling systems, spreadsheets, reporting dashboards, and project-management tools. KPI tracking and operational reporting experience preferred.
- Compliance Awareness: Working knowledge of HIPAA, OSHA, payer requirements, confidentiality standards, and healthcare compliance, with the judgment to identify and escalate potential concerns.
- Personal Ownership and Initiative: Demonstrates integrity, resilience, tenacity, sound judgment, organization, and a solutions-oriented mindset. Willingness to learn and take ownership of unfamiliar aspects of clinic operations, revenue-cycle management, compliance, and clinical research.
- Travel and On-Site Engagement: Ability to travel between assigned clinic locations and maintain a visible, hands-on presence across sites.
