ABOUT THE ROLE

Associations International is seeking a Membership Coordinator to join the International Spa Association (ISPA) team. The Membership Coordinator plays an important role in supporting and growing ISPA's member community. This position combines customer service, membership administration, data management and outreach activities to deliver an exceptional member experience and strengthen engagement throughout the membership lifecycle.

Key Responsibilities

  • Provide administrative and operational support for all membership functions including membership renewals, membership engagement and new member acquisition.
  • Assist with member and prospective member customer service needs, ensuring timely and professional follow-up.
  • Monitor and help respond to the general ISPA email account and route or escalate inquiries as appropriate.
  • Assist with growing the ISPA member community via phone calls and targeted email outreach as assigned to help generate both new and renewed members.
  • Generate and review invoices and related membership documentation.
  • Process membership-related transactions and records, including account updates, data entry, renewals support, prospect tracking, mailing lists and invoice coordination.
  • Maintain accurate account and contact data in Salesforce and assist with routine list cleanup, reporting and documentation.
  • Support membership communications by preparing materials, updating templates, coordinating follow-up lists and assisting with outreach execution.
  • Monitor membership information on the ISPA website and flag needed changes to the Membership Manager.
  • Assist with conference registration support, attendee inquiries and related administrative tasks.
  • Coordinate reports, files and documentation needed for membership operations.
  • Conduct research to help identify new prospective spa members via social media, spa industry news outlets and various other resources.

Requirements

  • Undergraduate degree or equivalent combination of education and relevant experience
  • At least one year of experience in customer service, membership support, office administration or a related role
  • Demonstrated professional writing, communication and organizational skills
  • Proficiency with Microsoft Word, Excel, PowerPoint and CRM/database systems
  • Experience supporting a membership-based organization, association or customer service function is desired
  • Experience maintaining data quality in a CRM or membership database is a plus
  • Experience coordinating invoices, emails, reports or other workflows is a plus
