The Membership Assistant at Boys and Girls Clubs of Boston supports membership registration, renewals, attendance tracking, and member record maintenance. The Membership Assistant also serves as a primary point of contact for members, families, visitors, and callers by providing a welcoming experience and accurate information about clubhouse programs and services.
ESSENTIAL DUTIES and RESPONSIBILITIES
Membership Services and Customer Experience
- Assist with member registration, enrollment and renewal processes as directed by the Membership Director. Accurately enter, update, and maintain member, family, registration, renewal, and attendance information in BGCB’s membership database and other designated systems.
- Monitor membership expiration dates and conduct timely outreach to members and families regarding renewals.
- Support member sign-in and sign-out procedures and ensure attendance information is accurately recorded.
- Provide accurate and current information regarding clubhouse programs, activities, events, membership procedures, and services.
- Assist with new-memberand family orientation sessions and provide applicable handbooks, guidelines, and membership materials.
- Welcome members, families, and visitors; appropriately direct incoming calls and general inquiries; take accurate messages when necessary.
Behavior Management and Safety
- Monitor activity and traffic in the lobby and membership areas to maintain an orderly, welcoming, and safe environment.
- Assist in the supervision, redirection, and behavior management of members in the lobby area and throughout the clubhouse as appropriate.
- Know safety and emergency procedures and enforce applicable rules and protocols to support the safety of members and programs.
- Main a safe, clean, and organized membership and reception area.
Technical and Professional Knowledge
- Secure and maintain records, materials, equipment, and other resources belonging to the membership area.
- Participate in supervision sessions and professional development opportunities as approved, provided, or directed.
Communication, Collaboration, and Teamwork
- Collaborate with clubhouse staff to support membership services, family communication, registration activities, programs, and special events.
- Other related duties as specified by the Membership Services Program Manager, Executive Director, or Director of Operations.

QUALIFICATIONS
Required
- High school diploma or GED required.
- At least one year of direct experience in customer service, reception, membership services, office administration, data entry, or a related area. Experience maintaining information in a database or similar recordkeeping system.
- Strong interpersonal, verbal, and written communication skills
- Ability to use Microsoft Office and web-based systems.Ability to multitask, stay organized, maintain accurate records, and demonstrate flexibility.
- Ability to handle confidential member and family information with discretion.
- Must be or become currently certified in CPR and First Aid.
- Ability to work effectively with youth and families from a variety of backgrounds.
- Ability to work independently and as part of a team.
- Flexibility to work clubhouse hours, especially as seasons and service needs change.
Preferred
- Associate’s or bachelor's degree.
- Previous experience in a youth-serving, community-based, educational, or nonprofit organization.
- Bilingual or multilingual skills.
TRAVEL
Travel between BGCB sites and to activities as needed.

SALARY & BENEFITS
Salary - $19.57/hour - $25.00/hour - commensurate with experience and a great work environment
