Candidate Profile
We are seeking a detail-oriented and highly organized Meeting Specialist to manage the end-to-end planning and execution of corporate meetings and events. In this role, you will deliver exceptional attendee experiences while ensuring alignment with corporate objectives, brand standards, and stakeholder expectations.
You will collaborate closely with Marketing, Communications, Office Managers, and Executive teams to create engaging, well-executed meetings that strengthen relationships and reflect our organization’s values.
Salary Range: $75,000 to $85,000
Location: Downtown Toronto
Plan, coordinate, and execute corporate meetings and conferences of varying scale
Conduct needs assessments and define clear meeting objectives
Identify, evaluate, and secure appropriate venues
Serve as the primary point of contact throughout the full meeting lifecycle
Develop and manage meeting budgets, timelines, RFPs, production schedules, and logistics documentation
Manage vendor sourcing, contract negotiations, invoicing, and reconciliation while controlling costs
Ensure meetings align with brand standards and organizational goals
Prepare post-meeting reports including outcomes, metrics, lessons learned, and ROI analysis
Maintain a strong focus on attendee satisfaction and continuous improvement
3–5 years of experience in corporate meeting or event planning
Bachelor’s degree in Meeting Management, Hospitality, or a related field (preferred)
Certified Meeting Professional (CMP) designation is an asset
Strong proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)
Experience with meeting planning platforms such as Cvent
Excellent organizational, multitasking, and attention-to-detail skills
Strong negotiation and vendor management capabilities
Exceptional written and verbal communication skills
Ability to work independently under pressure and manage multiple concurrent programs
Bilingual English/French is an asset
