TeleSolv Consulting is seeking a detail-oriented Meeting Registrar/Admin Support Specialist to support government meetings, conferences, and stakeholder engagement activities through administrative, registration, and logistical support services.

This position supports the federal government and may require travel to meeting and conference locations throughout the United States.

The Meeting Registrar/Admin Support Specialist plays a vital role in ensuring the successful execution of meetings and conferences by providing administrative coordination, attendee registration management, meeting documentation, and logistical support. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

This position supports a federal agency responsible for conducting meetings, conferences, and stakeholder engagement activities involving government personnel, contractors, grantees, and external partners. The Meeting Registrar/Admin Support Specialist contributes to the success of these events by managing registration processes, preparing meeting materials, coordinating attendee communications, and supporting conference operations.

Responsibilities:

  • Manage attendee registration processes and maintain event registration systems.
  • Set up and maintain registration links and attendee databases in accordance with federal requirements.
  • Coordinate attendee communications, confirmations, and registration inquiries.
  • Prepare meeting materials including name badges, table tents, binders, agendas, and informational packets.
  • Assemble conference binders and ensure meeting materials are complete and available for attendees.
  • Prepare and distribute notepads, writing materials, and other conference supplies as required.
  • Take detailed meeting notes and assist with drafting, formatting, and finalizing meeting minutes.
  • Maintain document control, routing, tracking, and filing systems for conference and meeting records.
  • Assist with preparing reports, presentations, correspondence, and briefing materials.
  • Support coordination of conference rooms, hotel arrangements, and event logistics.
  • Track action items, deadlines, and deliverables related to meetings and conferences.
  • Assist with attendee check-in and on-site registration activities.
  • Support post-event activities, including attendee surveys and meeting documentation distribution.
  • Coordinate teleconferences and virtual meeting logistics as required.
  • Provide administrative support to project teams and Government personnel.
  • Perform additional duties as assigned in support of conference and meeting operations.

Qualifications:

  • Must be a U.S. Citizen.
  • High School Diploma or equivalent required.
  • Minimum of two (2) years of administrative experience, preferably supporting meetings, conferences, or logistical operations.
  • Ability to obtain and maintain any required Government suitability or background investigation.
  • Experience providing administrative and logistical support in a professional environment.
  • Proficiency with Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Experience preparing, editing, and finalizing correspondence, reports, presentations, and briefing materials.
  • Experience coordinating meetings, teleconferences, and conference logistics.
  • Experience with document routing, tracking, records management, and filing systems.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines simultaneously.
  • Strong customer service and stakeholder support skills.
  • Ability to work independently and as part of a team.
  • High attention to detail and commitment to accuracy.
