Job Summary:

The Meeting Planner coordinates and executes meeting logistics for Commercial Organization meetings, including Regional Plan of Action (POA) Meetings, Manager Meetings, and other assigned corporate events. This role partners closely with internal stakeholders, hotels, vendors, and travel partners to deliver high-quality meetings that support business objectives while maintaining budget compliance and adherence to company policies.

Essential Duties & Responsibilities:

  • Coordinate and execute logistics for quarterly Plan of Action (POA) Meetings, Regional Meetings, Manager Meetings, and other assigned meetings and events.
  • Support the Manager, Meetings and Events in the planning and execution of commercial meetings and special events.
  • Assist with the development and maintenance of meeting timelines and project plans to ensure successful event execution.
  • Coordinate attendee communications and logistical requirements.
  • Manage meeting materials, including name badges, tent cards, signage, meeting supplies, and other event collateral.
  • Communicate meeting and travel logistics to attendees in a timely and accurate manner to optimize travel planning and costs.
  • Coordinate travel arrangements and partner with approved travel agencies as needed.
  • Coordinate hotel rooming lists, meeting space requirements, food and beverage orders, audiovisual services, ground transportation, and other onsite logistics.
  • Assist with sourcing venues and reviewing hotel contracts, proposals, and related documentation.
  • Create and maintain registration websites and attendee management systems for large-scale meetings and events.
  • Coordinate the selection, ordering, shipment, and tracking of promotional items and meeting materials.
  • Manage shipping logistics to ensure all event materials arrive on time and at the proper destination.
  • Create purchase orders, process invoices, reconcile expenses, and maintain accurate financial records for meetings and events.
  • Track meeting budgets and analyze actual spend versus budget, identifying opportunities for cost savings and efficiency.
  • Partner with Finance to ensure expenses are accrued and recognized appropriately in the correct accounting periods.
  • Collaborate with Sales Training, Commercial Operations, Finance, Procurement, and other internal stakeholders to support meeting objectives.
  • Provide onsite meeting support, including event setup, vendor coordination, and issue resolution.
  • Maintain compliance with company policies and industry guidelines related to meeting planning and event management.
  • Perform other duties as assigned.

Knowledge & Other Qualifications:

  • Bachelor’s Degree preferred or equivalent experience.
  • Minimum of 2+ years relevant experience planning meetings.
  • Strong organizational and project management skills.
  • Proficiency with Microsoft Office Suite applications and knowledge of web application (EMS) for meeting planning is a plus.
  • Pharmaceutical industry experience a plus.

Physical Requirements/Work Environment/Travel Requirements:

  • Lifting Requirements: Exerting up to 20 pounds of force frequently to pick up, move and/or carry objects. May be required to lift audiovisual equipment and boxes up to 20 lbs.
  • Walking: Intermittent walking and moving from location to location.
  • Visual Acuity: to perform an activity such as preparing and analyzing data and figures; transcribing; viewing a computer screen, iPad, or other electronic device.
  • Ability to travel about 20% of the time.

Compensation:

At Supernus, we offer a competitive compensation package that reflects your experiences and contributions. The expected salary range for fully qualified candidates applying for this role is $71,000 to $82,000. This range is what the Company reasonably expects to offer for the position and is not reflective of the full compensation scale of the role. This range may be modified in the future. An individual’s salary within the range is based on multiple factors, which may include and are not limited to education, relevant experience, knowledge, length of industry experience and organizational needs.

Base salary is one part of the overall compensation package, which includes the opportunity to participate in employee stock purchase programs and performance-based bonus programs.
