We are currently seeking a Meeting & Events Reservations agent to join our vibrant team at our Radisson Blu Hotel in Malmö At RHG, we are in search of individuals who go beyond the resume – those with character, skills, talents, and a passion for creating memorable experiences. As a Meetings and Events Reservation Agent, you bring an exceptional level of ambition, a results-driven mindset, and a genuine passion for crafting extraordinary experiences for our clients. Your expertise and dedication will play a pivotal role in elevating our Meetings and Events Team to new heights.

Key Responsibilities

  • Respond to telephone, email, and online inquiries regarding meeting and event bookings.
  • Process reservations accurately and efficiently using the hotel's reservation or event management system.
  • Prepare quotations, contracts, and booking confirmations.
  • Coordinate with sales, catering, banquet, front office, and housekeeping teams to ensure all event requirements are communicated.
  • Update reservation systems with accurate client information and event details.
  • Handle amendments, cancellations, and special requests promptly.
  • Assist clients in selecting meeting rooms, event packages, and accommodation options.
  • Monitor room availability and maximize meeting space utilization.
  • Ensure compliance with company policies and booking procedures.
  • Resolve guest concerns professionally and escalate issues when necessary.
  • Maintain accurate records, reports, and filing systems.
  • Build positive relationships with clients to encourage repeat business.
  • Work towards departmental KPIs
  • Assist in operations when needed

Qualifications

  • Proven experience in events management and reservations
  • Strong leadership with a hands-on, lead-by-example work style.
  • Committed to exceptional guest service, passionate about hospitality. Creative problem-solving with the ability to offer recommendations.
  • Personal integrity, excelling in an environment that demands excellence.
  • Strong communication and listening skills.
  • Outstanding analytical and strategic skills for financial improvement.
  • Excellent ability to collaborate across functions and cultures in a global environment.
  • Proficient in Microsoft Office software.
  • Open and positive personality, capable of handling challenging priorities and assignments.
  • Must have sufficient language skills in Swedish & English for both spoken and written communication.
