Meeting & Events Coordinator & Cvent Specialist
Location: Barcelona, Spain (hybrid)
Hybrid model: minimum 3 days per week onsite (moving to 4 days per week in 2027). This role requires regular in-office presence and close collaboration with the global events team; a profile based on occasional presence (e.g. twice per month) would not be suitable for this position.
Reports to Senior Global Congress & Events Director
This role is an exciting opportunity to join Galderma’s Global Congress & Events team in a hands-on, operational coordination capacity, with a strong focus on Strategic Meetings Management Program (SMMP) governance, Cvent expertise, and event management support.
The Meeting & Events Coordinator & SMMP/Cvent Specialist supports the planning, execution, and governance of global and regional meetings and congress-related activities. The role ensures operational excellence, compliance, data accuracy, and process consistency across the organization.
Working closely with the Global Congress & Events team and each designated event lead, the Coordinator plays a key role in:
Coordinating logistics and operational execution of meetings and congresses
Managing and optimizing Cvent usage, including registration builds, reporting, and data integrity
Supporting SMMP governance, compliance tracking, and process standardization
The role is primarily focused on coordination, logistical management, and system expertise, ensuring efficient execution while reinforcing governance and best practices.
Operational partner on the execution of global and regional meetings, internal events, and congress-related activities
Support with event logistics, venue sourcing, dinner organisation, markets and delegates management, communication to delegates, transfers and transportation, printing, congress registrations, onsite coordination when required, etc.
Support with creation of presentations for steering committee and other meetings
Support the deployment and ongoing implementation of Galderma’s SMMP plan
Be the point of contact for the meetings managed by Galderma’s stakeholders; track data entry
Ensure the accuracy of information contained in submitted requests and follow up on the closure of meetings and reports
Manage cross charges and data entry into Cvent after congresses and events
Experience in a similar role: 5+ years within the events industry (agency experience is a plus)
Strong organizational skills with excellent attention to detail
Strong coordination and administrative capabilities
Ability to work cross-functionally and communicate effectively with multiple stakeholders
Proactive, solution-oriented mindset with a sense of ownership
Ability to manage pressure calmly and adapt to change
Ability to manage multiple projects simultaneously and switch between them
High standards of quality, compliance, and process orientation
Knowledge of Adobe Suite / InDesign is an advantage
Fluent in English (written and spoken); French, Spanish or other languages are a plus
