About the Role:
Snapscale is seeking a skilled Medical Virtual Assistant with pharmaceutical experience to support a US-based healthcare practice. This role is ideal for candidates with a strong background in pharmacy operations, medication coordination, and healthcare administration. You will play a key role in preparing patient charts, managing prescription refill requests, tracking medical orders, and maintaining accurate clinical documentation while ensuring compliance with HIPAA and clinic protocols.
Key Responsibilities:
- Prepare and update patient charts at least 72 hours prior to scheduled appointments, ensuring all relevant clinical information is complete and organized
- Review patients' previous visits, provider notes, test results, medications, and outstanding tasks to ensure continuity of care
- Manage prescription refill requests by coordinating with healthcare providers, pharmacies, and patients while following clinic protocols
- Track and monitor medical orders, including laboratory tests, imaging requests, referrals, and medical supplies, ensuring timely completion and follow-up
- Perform healthcare administrative tasks such as data entry, documentation, patient communication, and coordination with clinic staff
- Maintain and update patient records using EMR/EHR systems with accuracy and attention to detail
- Collaborate closely with clinical and administrative teams to ensure efficient workflows and high-quality patient support
- Ensure all patient information and documentation comply with HIPAA regulations and clinic policies

Requirements
- Must have experience in the pharmaceutical industry or a pharmacy-related role (required)
- Experience working with U.S.-based healthcare providers, clinics, or pharmacies is preferred
- Experience with EMR/EHR systems, patient chart preparation, and medical documentation
- Experience managing prescription refill requests, medication coordination, and communication with healthcare providers and pharmacies
- Familiarity with reviewing patient records, laboratory results, medical orders, and clinical documentation
- Strong understanding of HIPAA compliance and patient confidentiality standards
- Excellent written and verbal English communication skills
- Highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment
- Strong coordination and collaboration skills with clinical and administrative teams
- Must be willing to work in an onsite setup
