
The Medical Records Coordinator manages medical records requests, document processing, scanning, insurance eligibility verification, and physician line support. This role requires strong knowledge of patient confidentiality, release of information procedures, insurance verification, and medical documentation workflows. The Medical Records Coordinator helps ensure timely, accurate, and compliant handling of patient information while supporting efficient daily office operations.
ESSENTIAL FUNCTIONS
1. Receive and review medical records requests from patients, individuals, life insurance companies, and law offices
2. Confirm that release of information forms are completed accurately and signed appropriately
3. Calculate fees for records requests in accordance with applicable state regulations and organizational policy
4. Coordinate communication and delivery of requested records by mail or email after payment is received
5. Document all medical records requests and related activity in the patient chart
6. Forward billing-related medical record requests to the billing department as needed
7. Organize documents from staff, patients, providers, and outside facilities in preparation for scanning
8. Scan documents into ECW and assign them to the corresponding patient chart accurately
9. Review upcoming appointments to verify insurance participation, active coverage, and eligibility
10. Check Medicaid eligibility and confirm participation with the appropriate managed care organization
11. Verify that referrals, when required, are scanned and reviewed for accuracy
12. Serve as the primary staff member answering the physician line and assist or route calls appropriately
13. Completes mandatory employee health, workers compensation, HR processes and other training and requirements in required time frame to ensure compliance with all FPI rules and regulations.

EDUCATION and/or EXPERIENCE
· High school diploma or equivalent required; additional coursework in healthcare administration or medical office operations preferred
· Prior experience in medical records, healthcare administration, or front office support preferred
· Experience with electronic medical records systems, preferably ECW

The referenced base salary range represents the low and high end of SCN'S salary range for this position. Some candidates will not be eligible for the upper end of the salary range. Exact salary will ultimately depend on multiple factors, which may include the successful candidate's geographic location, skills, work experience, market conditions, internal equity, responsibility factor and span of control, education/training and other qualifications.
