Job Description

We are seeking an experienced Intake Specialist to serve as the first point of contact for prospective patients. This role is ideal for someone who is highly organized, empathetic, and confident communicating with patients while guiding them through the consultation and treatment process.

The ideal candidate is a people-person who can build trust quickly, communicate with a professional communication style, and help patients feel supported throughout their journey.

Responsibilities

  • Answer inbound calls, texts, and emails from prospective and existing patients
  • Conduct patient intake and collect necessary information
  • Verify insurance eligibility and explain next steps
  • Schedule consultations and follow-up appointments
  • Follow up with leads and patients to encourage appointment completion
  • Educate patients on available treatment options
  • Maintain accurate records within the CRM and tracking systems
  • Coordinate with clinical staff regarding patient needs and concerns
  • Conduct post-treatment follow-up and wellness check-in calls
  • Ensure every patient receives a compassionate and professional experience

Requirements

    • Minimum of 4 years of experience in patient intake, patient coordination, healthcare customer service, admissions, or a similar role
    • Excellent spoken and written English with a neutral or minimal accent
    • Strong interpersonal and relationship-building skills
    • Experience handling phone-based patient or client interactions
    • Ability to manage multiple tasks while maintaining attention to detail
    • Comfortable discussing treatment options and guiding patients toward scheduling appointments
    • Self-starter who can think critically and adapt to different situations
    • Highly organized with strong follow-through and accountability
    • Experience using CRM systems and web-based applications like GoHighLevel, Salesforce, HubSpot, Zoho, or similar systems.

Preferred Qualifications

    • Experience with patient intake and care coordination
    • Experience in healthcare, mental health, behavioral health, or wellness settings
    • Familiarity with treatment-based or consultative sales environments
    • Knowledge of ketamine therapy, Spravato, or other mental health treatment modalities is a plus
