Your Opportunity

TAIHS is seeking a motivated and community minded First Nations Medical Receptionist to join our team. This role is the first point of contact for our clients and plays a vital part in delivering culturally safe and respectful healthcare services.

Your Contribution

The Medical Receptionist is responsible for acting as the first point of contact for all patients/visitors presenting to TAIHS clinical services. The Medical Receptionist is required to greet patients/visitors on arrival, coordinate patient appointments, maintain patient admission records and perform other tasks relevant to ensuring the effective and efficient functioning of main reception. This role is critical in ensuring a high standard of customer service is provided to all patients and visitors to TAIHS clinics.

Duties & Responsibilities

Your key duties and responsibilities will include but are not limited to:

  • Undertake open and close procedures of the main reception area
  • Greet and welcome patients/visitors presenting to the clinic
  • Ensure a high standard of care and confidentiality is provided to patients, doctors, and workforce
  • Ensure the provision of excellent communication and customer service skills to patients and employees
  • Assist patients with enquires and appointments when they arrive at the clinic in person
  • Answer phones and incoming enquiries in a timely manner remaining confidential with information at all times
  • Book and confirm patient/transport appointments
  • Undertake general administrative duties to support the effective operations of the clinic
  • Ensure a friendly and courteous disposition with all communication
  • Ensure the accuracy of messages taken and appropriate announcement of callers to call recipients
  • Ensure competence in two-way radio operation
  • Ensure all client documentation is scanned accurately and in a timely manner
  • Ensure vehicle maintenance and servicing are maintained in consultation with Assets, Facilities and Infrastructure Lead
  • Ensure patient appointments including bookings, confirming, cancellation, rescheduling as required is actioned
  • Provide administrative support for Health Professionals, i.e., filing, scanning, and photocopying

Required Qualifications and Experience

  • Certificate III in Business Administration/Business (Medical) – or willing to obtain
  • Minimum 2 years’ experience as a receptionist or within an administrative customer service role
  • Competence in Microsoft Office suite applications including Word, Outlook, PowerPoint, Excel and Google applications
  • Flexible and responsive to the needs of the TAIHS community and driven to achieve the best outcomes
  • Experience working with Aboriginal and Torres Strait Islander communities, preferably in a health or community setting
  • Good written, verbal, visual and non-verbal communication skills to ensure positive engagement with staff, clients and visitors
  • Demonstrated understanding of the principals of customer service
  • Demonstrated commitment to the principles of client/patient confidentiality

Required Licenses and Checks

  • Ability to pass a National Police Check – no Serious/Criminal/Court Records
  • Current Blue Card (Queensland's Working with Children Check)
  • Current C Class Drivers Licence (Qld)
  • Proof of qualifications and current registration (as appropriate) are to be provided prior to commencement of employment
  • Current First Aid and CPR
