Enjoy meaningful work, build relationships with patients and colleagues, and bring your skills to a role that makes a difference every day.

Why join us?

  • Employment options: Permanent part-time or casual arrangements, with the opportunity to discuss your preferred availability.
  • Management and clinical support: Work alongside our practice team, with support from experienced managers across our network.
  • Training and development: Receive guidance in our systems and procedures, with opportunities to build on your existing skills.
  • A valued contribution: Your experience, practical ideas and patient care will help shape how our reception team operates.
  • A local opportunity: Continue your career in the Yamba community or explore a coastal change if you’re considering relocating.

About the role

As the first point of contact for patients, you’ll help create a welcoming, professional experience while keeping the front desk running efficiently.

This role suits someone who enjoys the variety of general practice, takes pride in getting the details right and brings a calm, thoughtful approach to a busy reception environment.

Key responsibilities

Reception and patient service:

  • Welcome patients and respond to enquiries in person and over the phone.
  • Schedule and manage appointments.
  • Recognise urgent enquiries and promptly escalate them to the clinical team.
  • Process Medicare claims, private billing and EFTPOS transactions.
  • Maintain a welcoming reception and waiting area.
  • Support doctors and nurses with daily administrative tasks.

Administration and practice support:

  • Scan and file documents accurately into patient records.
  • Maintain current patient information.
  • Manage incoming and outgoing correspondence.
  • Assist with Medicare batching and billing administration.
  • Monitor stationery, forms and reception supplies.
  • Communicate messages accurately and assist with recalls and reminders under practice procedures.

Teamwork and professional standards:

  • Participate in staff meetings and training.
  • Work collaboratively with reception, nursing and medical colleagues.
  • Maintain patient confidentiality and privacy.
  • Follow workplace health and safety, infection control and emergency procedures.
  • Contribute to a respectful, culturally safe environment for patients and colleagues.

What we’re looking for

For this position, previous medical reception experience is essential. We’re seeking someone who can bring confidence and practical knowledge to the role, supported by training in our local procedures.

What you will bring

  • A friendly, empathetic and patient-focused manner.
  • Strong communication and customer service skills.
  • Experience managing appointments, patient enquiries and medical billing.
  • Attention to detail and the ability to manage competing priorities.
  • Reliability, professional conduct and a collaborative approach.
  • A commitment to confidentiality, inclusion and patient safety.

Experience with MedicalDirector and Pracsoft is highly regarded. If you have experience with another medical practice system, we’d still love to hear from you.
