Canadian Surgery Solutions, a division of Clearpoint Health Network, is currently recruiting for a Medical Reception Support position.

Position Type: Casual

The Medical Reception Support plays a key role in supporting the daily operations of the ambulatory surgical centre. This role is primarily responsible for pulling patient charts and ensuring accurate, timely preparation of documentation for clinical teams. The position also provides support with fax management, filing, and front desk coverage as required. The ideal candidate is detail-oriented, organized, and committed to supporting safe, efficient patient care.

Key Responsibilities

Chart Management

  • Retrieve and prepare patient charts for upcoming surgical cases and consultations.
  • Ensure charts are complete, accurate, and compliant with organizational and regulatory standards.
  • Organize, track, and return charts to appropriate storage locations after use.
  • Support electronic chart processes as applicable.

Administrative and Clerical Duties

  • Manage incoming and outgoing faxes, ensuring timely distribution to clinical or administrative teams.
  • Maintain filing systems
  • Assist with scanning and uploading documents into electronic medical record (EMR) systems.
  • Perform general office duties such as data entry, photocopying, and document preparation.

Front Desk and Reception Support

  • Provide relief coverage at the front desk, including greeting patients, checking them in, and answering phones.
  • Support scheduling, appointment confirmations, and patient flow as requested.
  • Maintain a professional, welcoming environment for all patients, families, and visitors.

Qualifications

Education & Experience

  • High school diploma or equivalent required.
  • Previous experience in a medical office, clinic, or surgical setting preferred.
  • Familiarity with EMR systems and basic medical terminology is an asset.
  • Experience with chart management or health records is considered an advantage.

Skills & Competencies

  • Strong attention to detail and high degree of accuracy.
  • Effective organizational and time-management skills.
  • Ability to maintain confidentiality and handle sensitive medical information.
  • Excellent communication and interpersonal skills.
  • Comfortable working in a fast-paced, team-oriented clinical environment.

Physical & Working Conditions

  • Fast-paced ambulatory surgical centre environment.
  • Requires walking, standing, bending, and lifting charts/files.
  • May require occasional early-morning shifts based on surgical schedules.

Additional Requirements

  • Clear criminal background check may be required.
