GENERAL SUMMARY
The Medical Office Supervisor reports to the Medical Office Manager and/or Family Health Center Manager. The primary job function is to assist in the management of multiple departments in the medical practice, which may include, but are not limited to office operations, nursing, laboratory, medical imaging, front desk operations, and physicians and/or advanced practice providers to ensure exceptional quality care and service offered to patients.
QUALIFICATIONS
Education:
• High School Diploma or successful completion of an equivalent High School Exam Required
• Associates Degree or equivalent Physician Office and/or Management experience preferred
Licensure:
• BLS within 90 days of hire required
Experience:
• Two years of Healthcare related experience required -or-
• Two years of management experience required
JOB SPECIFIC DUTIES AND PERFORMANCE EXPECTATIONS
The following is a summary of the major duties of this job. Other duties may be performed, both major and minor, which are not mentioned below. Specific activities may change from time to time.
1. Manages the operations of the medical office and/or family health center.
2. Maintains a cooperative working relationship with providers to assure their needs are met.
3. Maintains adequate staffing levels in the department by filling vacant positions, updating vacation and float calendars and providing office coverage when coverage is not available.
4. Assists with filling vacant positions by conducting interviews, submitting hiring requests, and completing status changes.
5. Ensures medical office locations meet insurance requirements for provider and insurance credentialing.
6. Audits monthly KPIs and ensures performance improvement through development of action plans.
7. Manages Medical Staff Services office personnel.
8. Ensures medical staff have the resources and support needed to meet strategic goals
9. Oversees coordination of department orientation and training for new hires.
10. Arranges cross-training for team members across the department.
11. Creates and maintains staff schedules in UKG.
12. Monitors and approves employee hours in UKG to ensure proper use of PTO, overtime, etc.
13. Manages personnel through routine rounding, continuous performance feedback, and annual reviews.
14. Ensures offices are appropriately stocked by ordering supplies, monitoring usage, rotating stock, and managing supply costs.
15. Performs monthly audits to ensure Joint Commission and safety compliance.
16. Works with management team to create, update, and enforce department policies and procedures.
17. Performs as a liaison between hospital departments and provider offices, most often in relation to maintenance requests, IS support, and employee requirements.
18. Works with CIS to train staff and providers, build templates, and troubleshoot system issues.
19. Assists in the coordination of care for the patient in collaboration with other members of the healthcare team to meet the health care needs of the patient.
20. Assists with the monitoring of maintenance of the building, including parking.
21. Works with HIM, revenue cycle, billing and medical staff to audit and ensure appropriate charge capture and revenue collection
22. Holds medical staff accountable for timely documentation.
23. Collaborates with key stakeholders and maintains thorough documentation to promote accountability, including actively participating in the PREP process
24. Other duties as assigned.
