Job Description

The Medical Education Program Specialist is responsible for planning and executing assigned medical education programs for the breadth of Penumbra’s product lines and applicable therapies by driving timely execution of logistics and when deemed necessary on-site management without on-site supervision. The position requires the person to ensure all programs and events are completed in compliance with all legal, regulatory and HCC policies.  The position has significant interaction with sales, physicians and other external customers and third-party vendors who provide critical support throughout the lifecycle of the program (planning through follow-up). 
 
What You’ll Work On
Medical Education Program Planning
• Careful selection of meeting space, lodging, restaurants/catering, etc. and complete site assessment for routine medical education programming to ensure suitable educational environment. 
• Create course registration and manage attendee logistics, collaborating with third party travel contacts. 
• Partner with product team to support marketing messaging that reinforces the clinical benefits of company devices and therapies.  
• Collaborate with product team to ensure that the appropriate marketing material, product, and models are included with careful consideration of the program’s intended educational focus. 
• Prepare and maintain inventory list of all necessary course materials where needed.
• Comply with all quality system regulations, standards and procedures. 
• Perform other work-related duties as assigned.
 
Medical Education Program Execution and Follow-up
• Travel to and support medical educational events across the nation, set-up and teardown equipment stations and interact with participants and faculty during medical education events. 
• Collaborate with Medical Education operations specialist and coordinator to confirm shipment of marketing material, product, and models to medical education event.
• Communicate regularly with designated sales team, marketing team, and other medical education team members.
• Develop and foster relationships with customers through professional and timely communication (verbal and written). 
• Monitor training programs and make recommendations for process improvements. 
• Attend scientific conferences and tradeshows to manage fellows’ courses and hands-on Workshops as needed. 
• Ensure proper follow-up of sunshine reporting, payments and reimbursements through collection of necessary information and collaboration with Legal & Compliance.
 
Medical Education Process Compliance
• Partner with marketing managers and sales management to organize programs by referring to the medical education planning guide and the Medical Education Request Form.  
• Work to continuously improve the medical education processes by working with other medical education specialists and operations specialist. 
• Maintain knowledge of therapies, products and business strategies. 
• Assist and train designated sales team on medical education processes.
• Adhere to the Company’s Quality Management System (QMS) as well as domestic and global quality system regulations, standards, and procedures.
• Understand relevant security, privacy and compliance principles and adhere to the regulations, standards, and procedures that are applicable to the Company.
• Ensure other members of the department follow the QMS, regulations, standards, and procedures.
• Perform other work-related duties as assigned
 
What You Contribute
• Bachelor's degree with a minimum of 1-3+ years of related experience or equivalent combination of education and experience
• Must have experience working in a professional education environment, coordinating, organizing and facilitating training, and/or facilitator in adult learning principles 
• Understanding of HCP interactions, compliance programs and medical procedures / practices/ products preferred. 
• Medical device, pharmaceutical, biotech, or other regulated industry experience desired
• Strong oral, written and interpersonal communication skills 
• High degree of accuracy and attention to detail 
• Proficiency with MS Word, Excel, PowerPoint and other standard office tools required 
• Excellent organizational, time management and prioritization skills. 
• Ability to interact with physicians and healthcare professionals in a professional manner
• Must be creative, self-motivated, proactive, intuitive, organized, and flexible 
• Available to address issues after hours as required
 
Working Conditions
General office environment. Requires some lifting and moving of up to 50 pounds. 70% or more travel (U.S. and international), including weekends. Willingness and ability to work on site.  Potential exposure to blood-borne pathogens. Must be able to move between buildings and floors. Must be able to remain stationary and use a computer or other standard office equipment, such as a printer or copy machine, for an extensive period of time each day. Must be able to read, prepare emails, and produce documents and spreadsheets. Must be able to move within the office and access file cabinets or supplies, as needed. Must be able to communicate and exchange accurate information with employees at all levels on a daily basis.
 
Annual Base Salary Range: $71,000 - $100,000
We offer a competitive compensation package plus a benefits and equity program, when applicable.  Individual total compensation will vary based on factors such as qualifications, skill level, competencies, and work location.
