- Type of Employment: Full-Time, 40 hours per week. This is a Contractor Position.
- Period of Performance: Estimated 07 July 2026 to 30 June 2031.
- Total Compensation: $27.00 per hour.

- Paid Time Off per Year: Up to 80 hours per year, which starts accruing on the day of hire.
- Sick Leave per Year: Up to 56 hours per year, which starts occurring on the day of hire.
- Paid Federal Holidays: Eleven (11) Paid Federal Holidays.
Summary of Services
The Medical Coder will provide comprehensive medical coding, document indexing, and quality assurance support services for the Mann-Grandstaff VA Medical Center. The incumbent is responsible for accurately reviewing, indexing, validating, and coding Veterans' health records in accordance with Department of Veterans Affairs (VA) regulations, Health Information Management (HIM) standards, and nationally recognized coding guidelines. The Medical Coder ensures the integrity, completeness, accuracy, accessibility, and timely processing of electronic health records while maintaining established productivity and quality standards.
Working Hours
The Medical Coder will normally work Monday through Friday from 7:00 am to 4:00 pm, with a 30-minute unpaid lunch break, except on Federal holidays. The Medical Coder will not work more than 40 hours a week.
Qualifications
- Associate's degree or higher in Health Information Management, Medical Coding, Health Information Technology, or related healthcare field; or Equivalent combination of education, training, and experience in medical coding and health information management.
- Minimum of three (3) years of professional medical coding experience.
- Experience coding inpatient and outpatient healthcare records.
- Demonstrated proficiency with ICD-10-CM, ICD-10-PCS, CPT, and HCPCS coding systems.
- Experience utilizing electronic health records and coding software applications.
- Knowledge of VA coding requirements, VHA directives, and federal healthcare documentation standards preferred.
Required Certifications
- Must possess and maintain at least one of the following active credentials:
- Registered Health Information Administrator (RHIA)
- Registered Health Information Technician (RHIT)
- Certified Coding Specialist (CCS)
- Certified Professional Coder (CPC)
- Certified Inpatient Coder (CIC)
- Certified Outpatient Coder (COC)
Duties and Responsibilities
- Review, process, and index scanned medical records and administrative documents into the Veterans Health Information Systems and Technology Architecture (VistA), Computerized Patient Record System (CPRS), or other VA-approved electronic health record systems.
- Accurately attach images and electronic documents to the appropriate patient record and electronic health record elements.
- Verify all uploaded documents for completeness, accuracy, proper orientation, and legibility.
- Locate and validate Financial Identification Numbers (FINs) and correctly associate documentation with the appropriate Veteran record.
- Index records into the proper document class, note title, date of service, clinic location, and visit category.
- Ensure compliance with VA record management policies, privacy regulations, and Health Information Management requirements.
- Conduct 100% self-quality assurance reviews of all indexed records prior to final submission.
- Identify and resolve indexing discrepancies, duplicate records, and document routing issues.
- Maintain strict confidentiality of Protected Health Information (PHI) in accordance with HIPAA and VA regulations.
Medical Coding Functions
- Review clinical documentation to assign appropriate diagnosis and procedure codes.
- Abstract and code inpatient, outpatient, surgical, observation, recurring care, professional fee, prosthetic, and ancillary service records.
- Assign ICD-10-CM, ICD-10-PCS, CPT, and HCPCS codes in accordance with current coding guidelines and VA requirements.
- Ensure diagnoses and procedures are coded to the highest degree of specificity supported by provider documentation.
- Analyze clinical records for completeness, consistency, and coding compliance.
- Identify documentation deficiencies and initiate compliant provider queries when clarification is required.
- Apply VA-specific coding conventions, national coding policies, and reimbursement methodologies.
- Maintain current knowledge of coding updates, regulatory changes, and VA coding directives.
- Participate in internal quality reviews, audits, and performance improvement initiatives.
