We’re looking for an organized Medical Claims & Records Clerk to join our Cost Containment team. This role is essential in managing the flow of incoming and outgoing correspondence, including medical records, provider communications, and claims documentation. The clerk will ensure documents are accurately sorted, logged, scanned, and routed in compliance with HIPAA and company policies, helping the team maintain efficiency and accuracy in claims and cost management processes.
· Receive, open, and sort incoming mail, faxes, and electronic correspondence related to cost containment activities (e.g., medical records, provider letters, claims support).
· Handle daily trips to the Post Office, including picking up incoming mail and delivering outgoing mail.
· Log and track all correspondence to ensure proper handling and timely processing.
· Scan and upload documents into internal systems, ensuring accuracy, confidentiality, and compliance with HIPAA regulations.
· Route correspondence to appropriate staff or departments, following established workflows.
· Prepare, package, and send outgoing mail and provider/member communications.
· Assist with maintaining organized filing systems (electronic and physical).
· Perform basic data entry and document indexing in claims and correspondence tracking systems.
· Support the Cost Containment team with administrative tasks as needed (e.g., updating spreadsheets, generating reports, following up on missing information).
· Ensure sensitive information is handled with discretion and in accordance with company policies.
· High school diploma or equivalent required; some college coursework preferred.
· 1–2 years of clerical, mailroom, or administrative experience; healthcare or insurance industry experience a plus.
· Reliable transportation to complete daily Post Office pickups and drop-offs.
· Strong attention to detail and organizational skills.
· Ability to manage multiple tasks in a fast-paced environment.
· Proficient with Microsoft Office (Word, Excel, Outlook) and comfortable learning new systems.
· Familiarity with HIPAA guidelines and handling confidential information preferred.
· Strong communication and teamwork skills.
